Job Summary

The Advancement Services Associate prepares mailing lists, processes gifts, updates and maintains the donor database, and prepares various financial and analytical reports.

Job Description

Typical duties may include but are not limited to:
  • Assists with special database projects; delegates and oversees database improvement tasks as appropriate.
  • Assists in the preparation of donor appeals.
  • Creates, updates, and runs queries in Raiser’s Edge for solicitations, reports, and mailing lists.
  • Works with accounting department to manage and reconcile development and business income records including but not limited to monthly development revenue reports, pledge status reports and annual audit preparations.
  • Executes and maintains data hygiene strategies that will increase the reliability of fundraising data.
  • Ensures integrity of data records by supporting the implementation of Raiser’s Edge policies and procedures.
  • Oversees and provides backup for gift processing and data entry in Raiser’s Edge.
  • Supports the production of fiscal reports and systems documentation as well as revenue reconciliation processes, Raisers Edge maintenance.
  • Generates data and responds to annual Volunteer Survey of Education (VSE) national study.
  • Coordinates with finance function to mirror chart-of -accounts and collaboration on new fund set up between Raisers Edge and Financial Edge.
  • Codes incoming checks and obtains gift acceptance forms from development staff.

Additional Job Description

Required Qualifications:
  • High School diploma or equivalent.
  • Six years of full-time experience with data entry, records management, or other relevant high level administrative support experience.
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, and Outlook).
Preferred Qualifications:
  • Bachelor’s degree from an accredited institution in Marketing, Communications, or closely related field.
  • Experience with fundraising or financial record-keeping.
  • Experience with a computer fundraising/donor management software program.
Knowledge, Skills & Abilities:
  • Knowledge of and proficiency with database management applications such as Raiser's Edge.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong organizational skills and the ability to prioritize and complete simultaneous projects.
  • Ability to create, compose, and edit written materials.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to collaborate and work effectively within a diverse community and willing to contribute to a team effort.
  • Ability to take initiative to plan, organize, coordinate and perform work in various situations when numerous and diverse demands are involved.
  • Ability to maintain confidentiality and discretion at all times.
  • Ability to work evenings, nights and weekends as necessary.
  • Ability to thrive in an organization that values the diversity of its student body and workforce and actively promotes an equitable environment.
