Special Information

  • This position is an on-site position which requires the incumbent to complete their work primarily at an NAU site, campus, or facility with or without accommodation. Opportunities for remote work are rare.
  • This position is posted as Internship Coordinator, which is a working title. The NAU system title for this position is Career Development Coordinator, Senior.

  • Evening work (average of 3 to 6 nights/month) and occasional weekend work (typically 4 to 10 days/year) is required during peak times (Late August to early December & early January to early May).


Job Description

The Internship Coordinator is a critical position providing oversight for several institution-wide Internship programs including the Arizona State Legislative Internship, Washington Center internships, Lumberjacks Thrive Externship, Knight-Swift internships, and coordinated programs with colleges, City of Flagstaff, and Coconino County. The position also works with employers and NAU faculty to consult on the development of compliant, learning-focused internships, and shapes the structure for Career Development's Internship Exploration and Resources appointments. This position is responsible for developing and directing processes and practices that are critical to compliance with Department of Labor laws and recent case law regarding internships.

Internship Management - 30%
  • Oversee student recruiting, advertising and administration of the following internships and internship programs:
    • Arizona State Legislative internships
    • The Washington Center internships
    • Internships and Internship Programs offered by our employers & partners across all industries and majors
    • Others as requested by employers, partners and program entities
  • Provide a single point of contact for employers, students, faculty, and staff to navigate NAU's internship system by providing connections to the appropriate NAU office or other available resources.
  • Utilize Salesforce to maintain, update, and add to the Career Development employer contact database, documenting and tracking all conversations and relationships with employers, recruiters and internship programs.
  • Maintain, update, and add to the current website and other resources for internships, including processes, policies, guidelines, and effective practices, making all information easily accessible to employers, students and faculty.
  • Manage internship postings in the Handshake platform to ensure descriptions meet national standards and that opportunities are advertised to students.
  • Maintain current knowledge of internships, experiential learning, career development, employment and recruiting trends, college student development, and other related topics as appropriate.
  • Track and maintain knowledge of internship and internship program timing and application deadlines.

Internship Development and Promotion - 25%
  • Work externally and in partnership with NAU entities to generate and develop additional internship opportunities by developing contacts and networks and utilizing Salesforce to track those relationships.
  • Educate internship providers and promote compliance with NAU, ABOR, NACE and Department of Labor guidelines and the National Association of Colleges and Employers.
  • Provide resources to employers on the use of Handshake.
  • Educate students on the importance of experiential learning to the college experience and future career opportunities with class visits, college visits and other events.
  • Promote our catalog of internship opportunities to students through internship events, Handshake, relationships with key university partners, student organizations, and other channels.
  • Achieve goals established by Career Development and Student Affairs; gather student outcomes data, report on internship progress and recommend changes to internships and internship programs based on assessment results.
  • Represent NAU Career Development at NAU, regionally, and beyond at conferences and other professional development events.

Event Planning, Coordination, and Marketing - 20%
  • Participate in the planning, organization, and implementation of recruiting events for students and alumni to include:
    • Internship events
    • JC Penney Suit-up
    • Career fairs
    • Employer visits to campus for Information sessions and Coffee Corner @ Union
    • Tabling events across campus
    • Others as needed
  • Coordinate and collaborate on events using Microsoft Teams, Microsoft Planner and Microsoft Project.
  • Utilize the Handshake platform to schedule events and employer campus visits.
  • Promote events and internship opportunities to students using available targeted marketing strategies to match students to the appropriate industries based on college, major or interests.
  • Creation of event graphics for social media and print materials while staying within NAU brand guidelines.

Career Advising and Education - 20%
  • Advise individual students or groups of students interested in internships and other experiential learning opportunities on applications, resume/cover letter development, interview skills, and internship search strategies with 1:1 appointments or group workshops.
  • Develop and maintain internship-specific online educational modules and specialized programming using online tools (e.g., Udemy).
  • Work with Career Programming team to embed benefits of internships/experiential learning into curriculum.
  • Supervise and provide mentoring for Career Development intern(s) and/or temporary employees managing internship programs.

Other - 5%
  • Service to the department/division/university in committees, meetings, and events.
  • New and unique duties/opportunities as assigned to support the department.


Minimum Qualifications

  • Bachelor's degree.
  • 3-5 years of relevant experience.
  • Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.


Preferred Qualifications

  • 2+ years demonstrated experience conducting outreach and developing or managing internal and external stakeholder relationships in diverse organizations.
  • 2+ years demonstrated experience managing, implementing, or coordinating projects or programs in a higher education, non-profit, or corporate environment.
  • 2+ years teaching, counseling, or advising high school students, college students, or young professionals on career, internship, academic, or personal development topics.
  • Experience collaborating with a team using Microsoft 365 software, including Microsoft Teams, Microsoft Planner, Microsoft OneNote, OneDrive, SharePoint and Excel.
  • Experience using Salesforce, Qualtrics, Canva, WordPress, and/or Handshake.
  • Master's degree in related field (Students Affairs, Business, Organizational Leadership, Human Resources, Education, or related field).
  • Experience assessing programs utilizing both quantitative and qualitative methods.

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States. Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities. Salary

Anticipated salary range is $47,634 - $49,778. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. More information on benefits at NAU is available on the Human Resources benefits website. Classified Staff employees are in a probationary status for their first six months at NAU. NAU is a tobacco and smoke-free campus. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. Additionally, new employees will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 6 months after the new employee's start date.
