Position Purpose

The Director of Finance and Administrative Operations provides management and oversight of the financial and administrative operations of the Arthur L. Irving Institute for Energy and Society ( IIES ). As a member of the leadership team, the director provides long-term leadership, vision and strategy, as well as, day-to-day oversight and management of the financial, human resources, and business activity of the Institute, including day-to-day chief of staff coordination and oversight.

  • Bachelor’s degree or the equivalent in education and experience.
  • Six years of financial/business planning and human resources management in complex organization; office management or program management experience.
  • Strong planning, administrative and organizational skills.
  • Ability to interpret College policies and to develop and implement local procedures and practices.
  • Super problem-solver who loves to figure out new systems and make them work better.
  • Initiative and ability to work and be effective independently while balancing a multitude of tasks.
  • Ability to work autonomously and to exercise considerable judgment and discretion in handling sensitive information.
  • Demonstrated strategic, analytical and innovative thinking skills.
  • Skill in statistical techniques for data collection and analysis and the preparation and presentation of written reports and analysis.
  • High level of technical competency in accounting and related financial accounting systems proficiencies.
  • Demonstrated commitment to personal and departmental integrity, creativity, collaboration, professionalism, and an overall growth mindset.
  • Excellent interpersonal and verbal communication skills.
  • Proven ability to respond with tact, diplomacy, and sensitivity to a diverse group of individuals external to and at all levels of the institution.
  • Proven advanced knowledge of Microsoft Suite, Adobe Acrobat, including preparation of presentations.
  • Demonstrated skill managing complex calendaring with Outlook Calendar, with skill and finesse keeping colleagues updated and well informed.
  • Ability to develop and manage web content and update web pages. Requires knowledge of or ability to become proficient in Omni Update and Drupal.
  • Commitment to diversity and to serving the needs of a diverse community.
Preferred Qualifications
  • Extensive experience in collaborating on complex projects.
  • Previous experience with revenue generating and/or fund raising functions preferred
  • Supervisory skills highly desired.
  • Knowledge of Dartmouth student community and programs strongly encouraged.
  • Bachelors Degree in Accounting or Business Management or the equivalent in relevant experience and education; MBA preferred.

Key Accountabilities

Description

Fiscal Operations Management Is responsible for establishing and implementing sound fiscal policies and procedures, managing Institute budget and financial transactions including purchasing, reimbursements, and all documentation; monthly, quarterly and annual reporting; working with Institute leadership team to develop the Institute’s budget, collaborates with the Provost’s office on reporting; with Advancement regarding stewardship and gift recording; with procurement and general counsel for contracts; coordinating of fiscal reporting for the Institute’s research portfolio; with the finance center for transactional reporting; and managing semi-annual and year-end reporting.

Description

Staff Development Manages all aspects of Institute office and administrative operations, including acting as principal liaison with the Human Resources Office for recruiting activities, hiring salaries, definition of duties, performance evaluations, and salary adjustments. Reviews and approves all administrative and staff appointments, contracts for non-staff positions, and payroll transactions. Advises on the impact of distribution of increases to the salary structure, merit increases, benefit increases etc., and developing and instituting policies and procedures related Institute hiring practices and performance evaluations.

Institute Operations – Develops and implements office procedures and systems to improve efficiency of office operations, records retention, and document controls. Develops data and reporting systems to improve tracking, reporting, and insights into the overall health and impact of the Institute’s mission.
