Job Description

The W. P. Carey School of Business, where business is personal ®, is searching for a Program Coordinator to join its Executive Education, Corporate Partnerships, and Lifelong Learning Team. This is a highly visible and impactful role in an important, growing and exciting unit at ASU’s highly ranked W. P. Carey School of Business. You will contribute to the school’s mission by driving innovative and interdisciplinary programs locally, nationally, and globally for our corporate partners and other stakeholders. As part of your role, you will work on program planning and delivery logistics for custom and open-enrollment programs.

This position executes on the front-line of exceptional program delivery and innovation by coordinating all operational aspects of assigned events, managing communications, and organizing program logistics, and is responsible for efficient, cost-effective program administration with the goal of providing extraordinary customer service in online, on-campus/in-person, and/or hybrid environments. The Program Coordinator will be responsible for coordinating and assisting with events for employers and participants, and tracking participants using a Participant Data Management Software.

Essential Duties

  • Serve as representative and point of contact with university departments and external community
  • Assist with planning and execution of custom and open enrollment programs as well as workshops and other events
  • Work closely and collaboratively with program partners (faculty, vendors, ASU internal service providers, etc.) in order to effectively coordinate day-to-day activities of programs 
  • Support program awareness and marketing by updating internal and external calendars with program information
  • Support Executive Education and W. P. Carey Marketing communications by updating marketing plan templates and project plans and timelines
  • Maintain and pull prospect lists from a database/CRM (i.e., Salesforce) for email deployments, sales outreaches and other revenue and awareness building efforts
  • Communicate event details to program partners (faculty, vendors, ASU internal service providers, etc.); manage event registration, track engagement, and run reports utilizing web-based tools such as Aventri, Eventbrite, Salesforce, Airtable and Zoom
  • Respond to inquiries from prospective program participants about open enrollment programs, promoting programs for participation and connecting prospects with more resources or expert help where needed etc. 
  • Assist with data collection and reporting activities in key areas like marketing, registration and evaluation, that highlight performance to inform decisions that maximize program and project and unit outcomes 
  • Provides inputs on status reports including milestones/deliverables, outreach activities, enrollment, participant progression and program outcomes
  • Proactively helps identify develop and deploy solutions to improve effectiveness of designated programs and projects based on knowledge of project purpose and scope in decision making and risk assessment, understanding impact on outcomes/success
  • Track purchases, invoices, and payments of vendors
  • Maintain and track budgets on all events, in accordance with objectives and funding parameters
  • Perform other administrative duties as assigned and participates in special projects as directed

Minimum Qualifications

Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds. Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate to perform essential functions.  Deliver presentations.  Exercises judgment within broadly defined practices & policies in selecting methods, techniques & evaluation criteria for obtaining results. Regular managerial review of results and objectives.  Use of software and computer equipment (monitor, keyboard, mouse) for extended periods of time.  Travel to host events.
