Earlham College is seeking a Senior Administrative Assistant for Student Life to join our team!

Summary: The Executive Assistant to the Vice President of Student Life & Dean of Students is the primary staff support person to the Office of Student Life at Earlham College. Responsibilities include, but are not limited to, the following:

Essential Functions:
  • Provide administrative support to the VP of Student Life & Dean of Students at Earlham College.
  • Provide receptionist and secretarial duties: answer and direct questions from faculty, staff and other campus guests via phone, e-mail and in person. Order supplies and specialty equipment.
  • Maintain financial records and files (invoices, purchase orders, credit card purchases, check warrants electronically
  • Organize travel, lodging, registration, meetings etc., for the staff and for visitors to campus as needed.
  • Organize departmental gatherings and other gatherings as requested.
  • Take initiative and design new routines and materials that support the ongoing work of the Student Life Office.
  • In general, help maintain a professional and friendly atmosphere.
  • Assist department in maintaining the calendar of events & tasks throughout the year.
  • Coordinate Parent Newsletter with VP
  • Additional duties as assigned

Qualifications
  • High school diploma or GED certification required.
  • Associate’s degree preferred or one to two years of experience working in a post-secondary academic environment.
  • Computer training in Microsoft Office applications, Excel and ability to learn other computer software programs; facility with basic HTML for web pages, and e-mail.
  • Must be able to work with minimal supervision, ability to multitask: handling several responsibilities at one time with potentially conflicting deadlines.
  • Must be able to work with people from around the world, including those with limited skills in English.
  • Excellent oral and written communication skills.
  • Excellent phone etiquette skills.
  • Demonstrated sensitivity to confidential matters.
  • Ability to discern significance of matters and respond accordingly

  • Be a positive example and resource to all Earlham Students
