About the Opportunity

1. Summary

Northeastern University's seeks a qualified individual to assume the role of Facilities Manager for its expanding Seattle Campus in the South Lake Union neighborhood. The campus currently consists of three leased buildings total more than 50k square feet, with different landlords and property managers at each building.

The Facilities Manager is responsible for the day-to-day management and operation of campus properties and the implementation of policies, procedures, and programs that ensure a well-managed, well-maintained campus within established management operating and fiscal policies, as well as ensuring compliance standards set by landlords, property managers, and governing regulatory agencies. This includes developing a supporting facilities management environment for all Northeastern community members and interacting with and supporting vendors and contractors

2. Qualifications

Bachelor's degree with minimum of five years of progressively responsible professional experience, including previous facilities management experience as well as vendor and contractor management. Experience with City of Seattle permitting process is a bonus.

Demonstrated skill in project management and customer relations. Ability to maintain accurate records and manage multiple projects simultaneously. High level of discretion, confidentiality, and professionalism is always required.

Strong communication, influencing, and negotiating skills. Sound relationship, management, and interpersonal skills. Positive, proactive, and enthusiastic approach to work. Proven ability to manage own workload, be flexible in responding to changing demands and priorities, and remain calm under pressure. Working knowledge of health, safety and environmental (HSE) compliance and codes/regulations.

This is an on-site position with limited remote work potential. This position requires ability to access all areas of campus facilities and construction sites including climbing ladders to assess conditions and perform inspections and repairs. Must be able to lift and carry 50 lbs.

Proficiency with Microsoft Office, SharePoint, and modern office collaboration and project management tools required. Experience with eBuilder is a bonus.

3. Key Responsibilities & Accountabilities

Facilities Management
  • Builds and maintains positive relationships with landlord and property management functions in leased facilities to ensure Northeastern community members needs are met effectively.
  • Ensures that the property interior and exterior are maintained physically to meet the standards set by Northeastern by following established procedures, coordinating with third-party property management providers in leased spaces, and overseeing contracted maintenance staff as appropriate.
  • Prepare written recommendations for physical repairs and/or replacements, improvements, supplies, material and equipment to the Associate Director of Operations & Administration as needed. Submit and track work order requests from issue identification through successful resolution.
  • Undertakes and oversees temporary reconfiguration of campus spaces in support of university-sponsored events, changes in classroom needs, or other requests from the campus team.
  • Oversees the maintenance, repair, and cleaning of campus furnishings and follows university policy on decommissioning of assets as necessary.
  • Oversees access control, keycard, and key management services in collaboration with Campus Operations team and property managers.
  • Coordinates Operations Team and security contractors to ensure adequate coverage of building access control points during operational hours.
  • Provides facilities and security support to special events held on and off campus as required, which may require work outside of normal working hours.
  • Builds positive working relationships and effectively communicate with diverse University constituents beyond the Campus, including but not limited to Facilities Division, Public Safety, Information Technology Services, Risk Management, Community Affairs and Environmental Health & Safety.
  • Undertakes other duties which may be reasonably required by the Campus that are commensurate with the nature of the position.

Facilities Planning
  • Maintains a proactive planning approach to all aspects of facilities (hard and soft services), ensuring that contractors and services are planned appropriately throughout the year in accordance with contracts and the annual facilities calendar.
  • Leads efforts to identify future facilities needs and plan appropriately to ensure that facilities meet the needs of the campus community as it grows, including the development and annual updating of a five-year facilities forecasting plan for campus.
  • Responsible for the management of the facilities budget, including timely approval of invoices and credit card reconciliations. Prepare for, and attend, monthly budget meetings to review the to-date use of the budget against the anticipated expenditure, including proactively raising concerns where additional budget may be required.
  • Maintains and enforces facilities policies, including the development of new policies as identified by the Campus and the University.
  • Serves as a key member of the contingency operations team in the event of natural or man-made emergency affecting campus operations. Prepares and delivers appropriate communications regarding campus closures and interruptions of service or planned shutdowns
  • Represents, where appropriate, the Seattle campus in the Northeastern University network, including regional campus meetings and committee servicing.
  • Collaborates with Operations and Event staff to plan support for special events as needed.

Construction Project Support
  • Serves as on-site coordinator for campus expansion/remodeling/branding projects, working with Northeastern's Capitol Project Manager and construction contractors to ensure timely completion of projects with minimal interruption to campus services and operations.
  • Coordinates scheduled work, arranges for vendor access, and generally supports the timely completion of planned construction activities with the least impact to campus operations possible.

The expected hiring range for this position is $50,520 to $78,310 based on the position's scope and responsibilities.
