Job Description:

The Payroll Supervisor will oversee the daily operations of the Payroll Office. They will assist with maintaining and testing systems that process all University payrolls. The primary emphasis of this position will be to ensure payrolls are processed in uniform, timely, and accurate manner adhering to departmental standards utilizing knowledge of payroll, taxes, benefits, deductions, and wage and hour laws. This role is a back-up to the Payroll Manager. It will also support the Payroll Tax Compliance Manager as needed.

Major Responsibility: Responsible for overseeing the completion of all University payrolls and daily payroll related tasks. Serve as the primary back up for the Payroll Manager

Supporting Actions:
  • Responsible for the production of three distinct regularly scheduled payrolls (approximately seven per month) as well as all necessary off cycle and special payroll runs.
  • Responsible for ensuring that all payroll transactions are processed accurately and timely.
  • Review and/or process payroll related adjustments and corrections as needed.
  • Review payroll audit reports to research and resolve outstanding calculation and settlement issues.
  • Initiate inbound and outbound payroll integrations and troubleshoot any possible integration issues.
  • Calculate and settle payrolls.
  • Oversee daily tasks relating to auditing and analyzing payroll data to identify and resolve discrepancies with proper application of gross-to-net calculations for non-exempt and exempt payrolls.
  • Research payroll compliance issues as needed.
  • Comply with regulatory standards and University policy/payroll procedures.
  • Prepare and process on-demand payments in accordance with department policy.
  • Understand and perform proper employee and employer tax calculations.
  • Partner with UHR Benefits to apply proper taxation of employer paid benefits.
  • Ensure timekeepers of employees with time entered not submitted prior to the payroll deadline are notified accordingly.
  • Escalate complex issues to the Payroll Manager that cannot be resolved with the standard work process.
  • Ensure all garnishments and lock in letters are entered and uploaded upon receipt.
  • Assist Payroll Manager and/or Payroll Tax Compliance Manager with payroll related projects as needed.
Major Responsibility: Team Training and Communication

Supporting Actions:
  • Manage Payroll Operations staff to ensure effective and efficient performance of job duties.
  • Provide coaching and feedback to Payroll Operations staff.
  • Evaluate and provide guidance in setting goals for Payroll Operations staff.
  • Responsible for keeping internal Payroll Office processes and procedures up-to-date.
  • Responsible for ensuring payroll staff is cross-trained.
  • Provide reports and updates to the Payroll Manager and/or Payroll Tax Compliance Manager as needed.
Major Responsibility: Payroll Systems

Supporting Actions:
  • Work closely with the Workday Program team, Human Resources and others within the Finance Division in testing the semi-Annual Workday updates.
  • Work closely with CIS and Workday Program to maintain and update integrations between the various applications as needed.
  • Serve as an active member of Workday HCM team and other committees established to manage HR/Payroll data. Be a Workday Subject Matter Expert for Payroll.
  • Analyze system processes for continual improvement and efficiencies.
Major Responsibility: Customer Service

Supporting Actions:
  • Provide and maintain quality customer service to all University employees by responding to all questions and concerns timely and accurately.
  • Ensure that complete and accurate informative information is communicated to University employees.
  • In conjunction with the Payroll Manager and/or Payroll Tax Compliance Manager, serve as a liaison to other administrative offices and committees regarding payroll matters.
  • In conjunction with the Payroll Manager and/or Payroll Tax Compliance Manager, assist with the initiation and coordination of campus wide communications regarding payroll.
  • Ensure employees and employee manager’s questions are resolved.
  • Ensure questions not related to payroll are delegated to the proper department for resolution.
  • Ensure completion of Deskpro IT tickets.
Major Responsibility: Serve as Backup for Payroll Tax Compliance Manager with Federal and State Taxes Filings, and other projects as assigned

Supporting Actions:

• Support Tax Compliance Manager with transmitting tax deposits to federal and state governments as needed.

• Support the reconciliation of ADP payments for all taxes for each payroll run.

• Support the completion of monthly, quarterly, and annual filings.
  • Assist Payroll Manager and/or Payroll Tax Compliance Manager with payroll related projects as needed.
Education and Experience
  • Bachelor's degree in accounting or finance preferred, with 2-4 years of related experience or equivalent combination of education and experience.
  • Excellent math skills
  • Excellent Microsoft Excel and Word skills
  • The ability to handle a number of tasks simultaneously in an environment where regular interruptions are normal.
  • The ability to work independently, prioritizing and organizing the workload to meet constant deadlines.
  • Excellent customer relation and communication skills.
  • Ability to work within a team structure and cross train within the Payroll Office.
  • This position requires a strong commitment to promoting diversity and inclusion in the Finance Division.
