Job Description:

The Institute for Biology, Engineering, and Medicine (or I-BEAM) is a new multidisciplinary institute that draws on faculty from across the institution to address critical challenges in medicine and health. The Institute Manager reports to the IBEAM Director and oversees the operations of this trans-school institute. This person will be on the ground floor of a new enterprise at Brown University and take part in shaping its culture and success.

Under the direction of the IBEAM Director, the IBEAM Manager will support the implementation of the institute’s operational policies, strategic outreach, marketing, and academic programming for the School of Engineering ‘s newest institute. With the Director, they will craft the annual calendar for the center reflecting the strategic engagement and program growth goals provided by its leadership. IBEAM’s manager will ensure that the institute’s many events, fundraising, grant writing, as well as academic programs are smoothly implemented with appropriate support from the IBEAM program coordinator. The manager will be responsible for producing materials related to IBEAM operations for both internal and external stakeholders following the IBEAM communication and engagement plan and they will deploy web-based databases and dashboards that are up-to-date and used for process improvement. IBEAM’s manager assists in outreach efforts aimed at increasing enrollment levels in the ScM and PhD program by roughly 30% in the next three years as well as grant activities and other fundraising for substantial increases in external support for I-BEAM research. They will liaise with the Division of Biology and Medicine, School of Engineering, School of Professional Studies and other University Departments to implement the effort to develop and deliver accurate and detailed program-related information to students, parents, instructors, partner organizations, university leadership and other constituents. Proactive outreach efforts will include: developing targeted marketing strategies for increasing enrollment, developing a strategy to increase the diversity of BME students from historically underrepresented groups, and tracking and managing various projects related to I-BEAM’s research development activities.

The successful candidate, as a minimum, should have the following background:

Education and Experience
  • Bachelor’s degree or equivalent combination of education and experience
  • 3-5 years program development and administration experience preferably in an academic environment
Job Competencies
  • Strong organizational, administrative and time management skills. Initiative and judgment to independently problem solve and prioritize workload in a multi-task environment while maintaining careful attention to detail.
  • Excellent oral, written, and interpersonal communication skills.
  • Experience developing and implementing integrated marketing and communications strategies that span multiple outlets including print, web, and social media.
  • Knowledge of applying analytics and developing performance indicators and data strategies to measure effectiveness of marketing strategies.
  • Ability to work independently and implement short and long-term goals independently, but also as a strong team member when the situation warrants.
  • Strong analytical, research and problem-solving skills.
  • Very high level of computer expertise and continued interest in maintaining skills: Computer proficiency in word processing, spreadsheets, computerized accounting, database systems including Microsoft Word, Excel and the Internet.
  • Strong customer service, interpersonal and oral and written communication skills, plus the ability to maintain confidentiality.
  • Thorough knowledge of office systems (records maintenance, procedures, etc.).
  • Detail orientated with a strong customer service orientation and high level of accuracy.
  • Ability to work under pressure and exercise tact, discretion, judgment and ability to prioritize task completion.
  • Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment.
