Minimum $47,850 ANNUAL (12 months)

Job Summary:

The School of Pharmacy seeks two Graduate Program Admissions and Recruitment Coordinators to join our collaborative team. In this role, you will have the opportunity to develop and implement PharmD Program recruitment plans, organize events, recruit and train staff & volunteers, evaluate admissions applications, and represent the institution to prospective graduate program students with a goal of attracting, admitting and enrolling a talented, diverse student body. This role is an integral member of the Student Services Office, a unit deeply passionate about supporting student success. Responsibilities: Develops and implements recruitment plans, organizes events, recruits and trains staff and volunteers, evaluates admissions applications, and represents the institution to prospective graduate program students with a goal of attracting, admitting, and enrolling a talented, diverse student body.
  • 20% Counsels prospective and admitted graduate students on educational planning and career opportunities
  • 5% Reviews, evaluates, and responds to student applications for admission to a graduate program according to established policies and procedures
  • 25% Identifies opportunities for and develops admissions and outreach events
  • 5% Schedules logistics and secures resources for events to promote the Institution
  • 5% Evaluates program effectiveness and provides recommendations for improvement
  • 10% Creates targeted communication plans and materials based on established goals
  • 5% Delivers directed admissions program messaging to internal and external audiences
  • 5% Identifies, promotes, and maintains internal and external partnerships focusing on outreach, recruitment, and admission
  • 5% Advises admitted UW-System students to the PharmD Early Assurance program, review their transcripts, and communicates with students once a semester
  • 5% Takes leadership of CRM communication, works directly with Assistant Director of Recruitment on processes for effective prospective student communication
  • 5% Assists with the organization and implementation of prospective PharmD events
  • 5% Takes leadership of developing a new summer pharmacy program for high school students interested in pharmacist careers
Tasks:
  • Work with a team to develop and host prospective PharmD student events.
  • Attend high school/college visits, college career fairs and interact with students and advisors to promote UW-Madison's PharmD program.
  • Review transcripts, applications, and assist with PharmD admissions when necessary.
  • Report on recruitment metrics to all-staff meetings and maintain organization of visits, and events.
  • Build relationships with high school counselors, STEM instructors, and college advisors in Wisconsin and the Midwest.
  • Effectively communicates pharmacist career opportunities to prospective students, community members, and college personnel professionally.
  • Engages prospects utilizing Customer Relations Management (CRM) tools designed to communicate with students via email, phone calls, text messaging.
  • Maintains knowledge of UW-Madison's PharmD program, establishes strong relationships with School of Pharmacy faculty and staff.
  • Participates in professional development opportunities.
  • Maintains monthly recruitment reports to share with the Office of Student Services and School of Pharmacy's leadership team.
  • Ensures the integrity and confidentiality of academic records, maintains FERPA compliance, and state and federal regulations.
  • Assists Recruitment Team with executing new student engagement opportunities, attends on-campus events and event-related tasks.
  • Performs other recruitment duties, as assigned.

Education:

Qualifications:

Applicants will ideally have at least six months of successful employment experience in higher education admissions and recruitment and/or student support services.

Required Skills:
-Working expertise with Microsoft Office software (Word, PowerPoint, Excel) and collaboration software (MS Teams, Zoom, Google Drive, Box).
-Demonstrated excellence in customer service, organizational, interpersonal, verbal and written communication skills.
-Proven record of process implementation/improvement and successful collaboration with cross-functional teams.
-Successful experience working in a fast-paced, dynamic, and self-directed environment that requires effective and timely responsiveness to shifting priorities.

Preferred skills:
-Demonstrated involvement with higher education initiatives and teams devoted to improving diversity, inclusion, and equity in all aspects of the student experience.
-Experience attending college career fairs and providing information regarding educational programs to prospective students.
-Experience reporting data and data integrity.

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.

The expected salary range for this position is dependent on qualifications. We expect entry-level candidates to earn between $47,850 and $52,000, moderately experienced candidates to earn between $52,000 and $56,000, and highly experienced candidates to earn up to $60,000.
