DESCRIPTION
This position is responsible for providing support to the Student Activities department by performing administrative duties for all staff members, hiring, supervising, training, and evaluating student office assistants, and supporting the hiring, training, and celebration of up to 30 departmental student employees. This position supports the mission of the department including encouraging student involvement and development, supporting departmental and campus events and creating a positive environment for the front office.
RESPONSIBILITIES
Administrative Support: 80%
- Coordinates daily office support activities and
administrative interactions. Assist in the coordination of daily
workflow and the resolution of complex, highly sensitive and
confidential matters. Provide organizational planning and
problem-solving skills.
- Researches and analyzes administrative requirements for
specific programs or projects. Provide technical information
regarding administrative procedures, services, or
programs.
- Develops procedures for complex or specialized functions.
Responds to inquiries and interprets rules, regulations, policies,
and procedures. Monitor compliance with policies and
procedures.
- Maintains a variety of administrative, departmental and
student records. Verifies, processes, and reviews forms, reports,
tables, and other documents. Perform special analyses and project
summaries.
- Coordinate meetings, seminars, and other special
events.
- Coordinates the maintenance of files, records, office
supplies, or equipment. Makes recommendations for process
improvements, administrative changes, or new
initiatives.
- Provides support to other areas as assigned.
Supervision: 20%
- Hire, train, supervise, and evaluate student
assistants.
- Oversee work study eligibility for student employees who
work in the department.
WHAT YOU WILL NEED
- High School Diploma or GED.
- Four (4) years administrative related
experience.
- Intermediate skills with Microsoft Office Suite (Word,
Excel, PowerPoint, and Outlook), and the internet.
- Ability to multi-task in a fast paced and diverse
environment.
- Detail-oriented with a high degree of accuracy maintaining
records and have excellent organizational skills.
- Strong written and verbal communication skills to be able to
communicate courteously and effectively with students, faculty,
staff, and public.
- Strong interpersonal and organizational
skills.
- Ability to work with sensitive information and maintain
confidentiality.
WHAT THEY WOULD LIKE TO SEE
- Associate degree.
- Experience in Higher education or similar
role.
- Excellent verbal and written communication
skills.
- Experience working with diverse communities.
- Experience/Knowledge of Workday, BANNER, Canopy, FAMIS,
Argos, CONCUR, Laserfiche.
