The Opportunity:

Embry-Riddle is now hiring an Office Assistant for Health Services at the Daytona Beach campus. The Office Assistant is the first point-of-contact for all patients who enter Health Services. This position assists all individuals – current and incoming students, current and incoming families, faculty, staff, colleagues, and vendors– with obtaining the correct resources within Health Services. This position greets all individuals, both in-person and over the phone, while always maintaining exceptional professionalism during diverse situations. This position will also assist the Office Coordinator, Manager of Health Services, and Director of Health Services, as well as colleagues when needed. The Office Assistant is responsible for greeting and checking-in patients, obtaining and updating patient medical information, answering inquiries, scheduling appointments, and verifying insurance information.

Responsibilities include:
  • Welcome patients and visitors in-person and/or over the telephone; answer inquiries in-person, via telephone, and/or via email and refer questions when needed to applicable staff members; schedule appointments and re-schedule appointments, when needed; check-in patients; and verify insurance information prior to the patient appointment utilizing the Electronic Medical Record, PyraMed; scan insurance card in the patient chart and ensure that patient health insurance is active as well as scan and tag Explanation of Benefits (EOB) and insurance checks.
  • Verify completion of patient required medical history forms and consent forms prior to the patient appointment. Verify enrolled students have their health administrative fee is charged to their account for the current semester prior to the student being seen. Maintain medical information of patient accounts and update with changes when needed.
  • Provide information to all individuals – current and incoming students, current and incoming families, faculty, and staff – about the student school insurance regarding plan information, pricing, plan requirements, insurance card access, and instructions on obtaining and declining the health insurance plan. Maintain a list of providers in the Daytona Beach area for students who have the student school insurance plan.
  • Maintain students’ Campus Solutions To-Do List Items regarding health requirements; ensure required Student Medical Report Form and Student Immunization History Forms are completed to be compliant with the health requirements prior to removing the To-Do List Item from the Campus Solutions Account. Maintain the Form Submission Report in the Electronic Medical Record, PyraMed to utilize the 3-C Engine in Campus Solutions to remove the To-Do List Items from student accounts. Respond to inquiries from students, families, faculty, and/or staff regarding To-Do List items on student accounts. On occasion, under the direction of the Office Coordinator, apply and/or remove medical holds to student accounts on non-compliant students. To add, post charges - if applicable - to student accounts.
  • Assist with referral processing through the school health insurance plan. Coordinate specialty care for patients in need of external consultation, laboratory testing, x-ray diagnostics, or other patient care services as requested by the Health Services provider. Process patient referrals to specialty providers by preparing medical charts and records for referral patient visits and providing appropriate clinical information to specialist. Explain details of referral coordination with patients. Act as a resource for patients or providers who have questions or problems relating to referrals.
  • Open and sort through office mail. Deliver office mail to appropriate staff members and/or to appropriate areas in Health Services.
  • Assist students and employees with requests for release of medical information.
Qualifications

Required Qualifications:
  • High school (or GED) level ability in spelling, grammar, basic composition, and math
  • Strong verbal and written communication skills
  • Skilled in answering the telephone in a pleasant and helpful manner and using a multi-line phone system
  • Able to read, understand, and follow oral and written instructions
  • Demonstrate compassion and caring in dealing with others
  • Experience with Electronic Medical Record and Microsoft Office
  • Understand and maintain HIPAA regulations
  • Basic knowledge of necessary immunizations and immunization schedule
  • Protect patient rights by maintaining confidentiality of medical, personal, and financial information

Required Licenses, Certificates, and/or Security Clearances:
  • CPR (can be obtained through Embry-Riddle upon employment)
