Registration Assistant



Schedule Information: Monday through Friday 8:00am-4:30pm

Hours per Week: 37.5

Work Conditions: Work is primarily indoors. During peak periods, weekends and evening hours may be required

Duties of Position: Assists the Registrar with organizing, directing and coordinating the responsibilities of the Registration Office. Responsibilities include managing the daily operations; overseeing office staff and ensuring efficient functioning of the office and its processes; responsible for customer service to students, faculty, staff and related constituencies; corresponding with students on various matters; articulating and enforcing College policies and procedures, responding to inquiries for information and making referrals to other campus units as necessary.

Assists with the appeals process which includes the review, approval, issuance of refunds when appropriate for students seeking refunds, or administrative withdrawals.

Assists with processing academic transcripts and working in conjunction with a third-party company to securely exchange electronic transcripts.

Reviews, approves, and tracks Joint Agreements for those students pursuing a certificate or degree program not offered at Harper College.

Reviews and makes decisions for requests to exceptions of the College overload, course prerequisite and course overrides.

Establishes and approves residency requirements for all students enrolled on a semester-by-semester basis.

Assists with the articulation and enforcement of the College’s Assessment and Testing procedures.

Processes student schedule changes throughout the semester, assists division offices with batch registration of dual credit and selective admissions students and maintains electronic registration files for all transactions.

Provides direction to and assists with training and scheduling of full time and temporary registration staff and cross training of other college staff.

Answers and responds appropriately to students by way of managing a busy, multi-line phone system, email, chat and responding to in-person queries and provides counter assistance. Assist students in problem solving and making appropriate referrals.

Processes departmental changes for withdrawn courses, audits, and math lab transfers.

Screens returned mail and distributes information to appropriate staff.

Ensures that Harper’s policies and procedures are applied fairly and consistently.

Assists in maintaining effective working relationship with academic colleges and departments.

Works independently to provide continued enhancement of student services and registrar unit operations.

Assists Registrar's Office with special projects as assigned.

Performs related duties as assigned.

Educational Requirements: Associate Degree and Microsoft Office and Excel Proficiency required.

Experience Requirements: Two years of general office experience. Experience in admissions, customer service, and record keeping required.
