Position Summary

The Assistant Vice Provost for Academic Affairs (Director of Operations/Staff Director) leads, directs and provides strategic management to the central faculty administrative services at Rice University, acting in close partnership with the Provost’s Office. This position directs the business and financial operations of the Vice Provost for Academic Affairs (VPAA) Office and other offices that report to the Provost through VPAA. The position advises the Vice Provost for Academic Affairs and other faculty leadership in key areas, especially faculty appointments, sabbaticals, and other milestones and activities. Acting as Chief of Staff for the VPAA, manages staffing and supervises some office staff.

This position pays in the range of $115,000 to $124,000 annually. There will be a significant amount of overlap time with the outgoing Assistant Vice Provost for training.

The ideal candidate will be highly experienced in faculty affairs and financial and budgetary management; a skilled team leader; and ambitious in their aspirations and skillful in their abilities to implement continuous improvement of processes and technology for faculty administration.

Requirements
  • Bachelor’s Degree
    • In lieu of the educational requirement, additional related experience, above and beyond what is required, on an equivalent year for year basis may be substituted
  • Ten years of related experience in a university administrative office
    • Additional education, above and beyond what is required, on an equivalent year for year basis may be substituted for some of the experience requirement

Essential Functions
  • Directs office operations and key functions, including faculty lifecycle actions administration, finance, human resources, communications and compliance
  • Supervises departmental staff, leads and directs staff in the development and implementation of functions or projects
  • Participates in the development of strategic and long term plans
  • Establishes departmental goals, responsible for financial viability and organizational success
  • Leads major initiatives that impact the office, the division, and the university
  • Acts as the subject matter expert for the university regarding the interpretation, implementation and compliance with policies and regulations
  • Oversees the planning and management of complex budgets
  • Leads the development and implementation of the annual budget for the division
  • Develops long term, multi-year budget plans; reviews trend reports and created financial models and forecasts
  • May participate in the development of division-wide financial processes or procedures
  • Directs and manages outreach strategy that may include relationship development, communications, and event management
  • Serves as a representative for faculty administration at the university level and with external constituency groups
  • Oversees the human resource function for the division for staff and faculty
  • Makes final decisions on space allocations for the office
  • Performs all other duties as assigned
Additional Functions
  • Administers or oversees administration of faculty-specific administrative systems, such as for faculty hiring and faculty activity reporting, including coordinating data loads from other Rice offices, doing custom loads on a regular basis, creating and tweaking templates, etc.
  • Spearheads new projects related to faculty administrative processes
  • Oversees review and approval of faculty personnel actions in Oracle Cloud; handles the more complex cases
  • Drafts consent calendar for quarterly Board meetings
  • Drafts faculty appointment and other approval letters on behalf of the Provost and President
  • Oversees the annual edit process of the policy pages of the General Announcements
Preferences
  • Experience working at Rice University in positions responsible for or with very good understanding of faculty policies, procedures and lifecycle actions
  • Experience using human resource systems such as Oracle Cloud and academic administration tools such as Interfolio’s Faculty Activity Reporting and Faculty Search
  • Experience supervising and leading thriving teams
