Minimum Education/Training/Experience

Three (3) years of work experience providing administrative support to multiple programs.

Forty-five (45) college credit hours. Up to 23 of the required credit hours may be substituted by 1.5 years of directly related work experience. If work experience is used as a substitute for minimal education requirement, it cannot also be used to qualify for minimum work experience.

Preferred Education/Training/Experience

Five (5) years’ experience providing administrative support to multiple programs, including grant programs.

An associate degree in office management or similar area.

Minimum Knowledge & Skills

Proficiency in Microsoft 365 computer applications involving the design and management of databases or spreadsheet files and the development of special report formats.

Complex office practices and procedures including the ability to type, attention to detail with a sense of urgency and time management.

Record keeping practices.

Ability to prioritize tasks and coordinate multiple projects.

Accuracy in arithmetic calculations to monitor budgets.

Operate standard office equipment.

Demonstrate use of Critical Thinking in the compiling and summarizing of information to prepare and format reports.

Communication, interpersonal skills as applied to interaction with coworkers, supervisor, students, and the general public. Communication sufficient to exchange or convey information and to receive work direction.

Make travel arrangements, prepare travel documents for permission and reimbursement for Directors as needed.

Organize your work, set priorities and meet critical deadlines.

Maintain regular, prompt, and reliable attendance.

Preferred Knowledge & Skills

Advanced knowledge of Office 365 applications.

High degree of initiative and judgement.

Job Duties

Manage the affairs of the Director of Academic Planning and Innovation and the Director of Program Development to include managing calendars, budgets, organizing travel, and administrative support.

Specialized administrative support work related to planning, organizing, and coordinating programming in the department.

Enter, edit, and retrieve data, prepare periodic or special reports, assists with accreditation reports for SACSCOC and program accrediting bodies.

Perform office duties such as opening and distributing mail, processing outgoing mail, preparing purchase requisitions.

Arrange meetings by notifying attendees, reserving rooms, making lodging and/or meal arrangements, etc.

Demonstrate proficiency in drafting and editing quality office communications, taking notes and meeting minutes, researching, analyzing, and communicating information.

Follow oral and written instructions and procedures.

Safeguard confidential data and information.

Communicate effectively with a range of diverse people, ability, culture, and ethnic backgrounds to maintain good working relationships across the college.

Work and communicate with all levels of administration, faculty, and staff in all areas of the college.

Perform specialized administrative support for campus-wide programs and innovations through at the discretion of the Director of Academic Planning and Innovations.

Performs duties under minimal supervision.

Performs other duties of a similar nature or level.

Physical Requirements

Positions in this class typically require stooping, crouching, reaching, standing, walking, talking, hearing, seeing and repetitive motions.

The position requires lifting 10-15 pounds, the ability to push a cart and assist with event set-up.
