Positions Supervised: Enrollment Representative, Admissions; Administrative Assistant

Job Summary

The assistant director, freshmen admissions provides direct supervision and leads a team responsible for multiple facets of recruitment, enrollment, and student-focused service for Enrollment Management. This position works in collaboration with the director of admissions to ensure efficiency and effectiveness of the admissions and enrollment processes, as well as assist with strategic planning and execution of all recruitment efforts for the St. Charles and extension site locations.

Job Responsibilities and Execution
  • Manages the recruitment, admissions, and enrollment process for academic programs and modalities offered through the University
  • Complies with all federal, state, and institutional policies and procedures, inclusive of accreditation standards
  • Assists with strategic planning and development for Enrollment Management
  • Supervises admissions and recruitment staff directly, providing leadership and mentorship in executing the University’s vision and mission
  • Evaluates application and academic records to determine admissibility of prospective students
  • Assists in managing the day-to-day admissions operations for St. Charles and extension sites
  • Reports and analyzes enrollment and retention data in collaboration with director
  • Designs, implements, and supports territorial recruitment for Admissions staff; plans and executes recruitment events; collaborates on community and corporate recruitment initiatives to drive enrollment
  • Facilitates website updates and initiatives relative to department needs and changes
  • Maintains confidentiality of all school and student matters; assists the director of admissions with student inquiries and/or complaints
  • Ensures accurate and professional documentation of all written and verbal communications with students, faculty, and staff
Leadership and Strategic Thinking
  • Develops organizational strategies to promote the University and assist with retention across all academic formats
  • Reviews applicants’ academic credentials and collaborates with academic schools as necessary to assist applicants
  • Promotes the development and implementation of policies, procedures, and standards for Enrollment Management, including budget proposals; monitors/authorizes expenditures
  • Organizes and leads departmental meetings for faculty and staff
Employee Management and Development
  • Supports the mission of the University and serves as an ambassador of the Q2 culture of service excellence
  • Models, supports, and holds others accountable to the University’s values – integrity, dedication, excellence, creativity, and teamwork
  • Sets clear expectations for admissions personnel in regard to goal attainment, department standards, travel assignments, and the University’s mission
  • Develops employees’ skill sets and provides ideal professional growth opportunities
  • Manages human resources reporting and personnel matters for assigned staff, including but not limited to time cards, overtime approval, and absence requests
  • Assists with interview, hiring, and training processes; conducts annual employee evaluations based on evidence, observation, and feedback

Required Qualifications – An equivalent combination of education, training, and experience will be considered. Additional requirements may be designated by position
  • Bachelor’s degree
  • Minimum 3 years’ related experience in sales or recruiting
  • Master’s degree preferred
  • Minimum 1 year supervisory experience

  • Demonstrated ability to work effectively with individuals from diverse communities and cultures
  • Knowledgeable in areas of recruitment, enrollment management, admissions, financial aid, and academic advising
  • Ability to organize and prioritize work
  • Ability to multitask with minimal supervision
  • Ability to establish and maintain effective relationships with students, faculty, and staff
  • Ability to collaborate with, advise, and assist the director of admissions in all aspects of the recruitment and admissions processes
  • Knowledge of Microsoft Office Suite
