Overview

The Office of Gender Equity Administrative Coordinator is responsible for managing the documentation related to investigations of sexual misconduct, including managing materials provided by parties and witnesses, preparing materials for production to parties and disciplinary authorities, and properly maintaining the materials, including for possible production in lawsuits and to Office of Civil Rights. The Coordinator will track the progress of each case from start to resolution, and provide ongoing and historical records management for the Vice Provost of Institutional Equity and Diversity that ensures the University’s compliance with Title IX and obligations enforced by the U.S. Department of Education’s Office of Civil Rights and other applicable laws. The Coordinator will interact regularly with students, faculty and staff members who may be involved in sexual misconduct investigations or reviews. In this capacity, the Coordinator will assist with scheduling, responding to inquiries, and welcoming office visitors. The Coordinator will provide administrative support of a highly complex and responsible nature to the Director and other staff involved in Title IX activities as needed.

Title IX is the federal law prohibiting sex discrimination and sexual misconduct on college campuses.



Responsibilities

Manage Documentation of Investigations

  • Manage and prepare all documentation related to investigations of sexual misconduct, including managing materials provided by parties and witnesses, preparing materials (including redacting identifiable information) for production to parties and disciplinary authorities, and properly maintaining the materials, including for possible production in lawsuits and to Office of Civil Rights.
  • Solely responsible for preparing all case documents (which may number in the thousands of pages for a single case) and directly producing them to parties (faculty, students, and staff) and their advisers, which includes attorneys. The Coordinator is the final individual to review the documents prior to production to parties and advisers/attorneys and is responsible for ensuring that all relevant and correct documents are included in the relevant parties' case file. This requires independence, autonomy, and attention to detail; errors in this work can result in legal action and significant negative publicity.
  • Given the sensitive nature of these issues and the significant consequences of these matter, the coordinator needs to be able to work under pressure.
Administrative Tasks

  • Maintain accurate and complete files, screen mail, handle and respond appropriately to inquiries.
  • Interact with a wide range of individuals including students, cabinet members, faculty, administrators, and staff members.
  • Gather, organize, and analyze information and data, and assist in the development of reports.
  • Assist with presentation materials for students, faculty, and staff.
  • Schedule regular meetings, compile agendas, coordinate the collection and dissemination of meeting materials, assess materials for completeness, communicate with investigators, and provide other support as needed.
  • Schedule regular trainings, compile agendas, prepare training materials, record participation statistics.
Maintain budget

  • Prepare annual reports (internal and community)
  • Responsible for website review, updates and maintenance


Qualifications

Essential

  • Bachelor’s degree required
  • 5 or more years of relevant professional experience
  • Background in legal, investigative, or compliance work (e.g., paralegal or legal assistant)
  • Strong analytical skills required
  • Demonstrate highest level of professional judgment, discretion, confidentiality, and tact
  • Ability to perform in a time sensitive environment and work independently
  • Ability to maintain objectivity and treat all individuals with respect and empathy
  • Must be proficient in Microsoft Word, Excel, Access, PowerPoint and SharePoint
  • Familiarity with basic project management concepts helpful
Preferred

  • Experience working independently with minimal supervision
  • Demonstrated ability to handle multiple responsibilities concurrently and work independently in a fast-paced and dynamic environment
  • Strong work ethic; attention to detail; commitment to completing work on a timely basis and at the highest level of accuracy and quality.
  • Ability to set priorities, balance multiple demands, and shift direction quickly.
