Shenandoah University’s Conservatory is accepting applications for an Operations Manager of Music Facilities . This is a full-time benefited position located on our main campus in Winchester, Virginia.

SUMMARY

Reporting to the Executive Director of Performances & Engagement, the Operations Manager of Music Facilities is a key team member of the Conservatory’s general management staff. The Operations Manager oversees venue reservations and the comprehensive schedule of all concerts, classes, recitals, and events scheduled in Shenandoah Conservatory’s performance venues; and manages the daily operations of music facilities. This position works closely with music faculty, ensemble/program directors, the piano technician, music production and recording technology, and the Production Manager of Music Facilities to ensure all events, rehearsals, and performances are appropriately equipped and staffed, and that the facilities and events are operated in a professional manner, maintaining the safety, comfort, and security of students, faculty, guest artists and patrons. This is a 12-month full-time position with benefits. Occasional nights and weekends are required for special conservatory events, crew training sessions, high-profile guest artist performances, and other events as assigned.

RESPONSIBILITIES

CALENDAR MAINTENANCE & RESERVATIONS

  • Manage reservations for all conservatory events in music facilities, overseeing the master conservatory calendar of events and ensuring that all concerts, rehearsals, recitals, classes, and special events are accurately entered into both the conservatory calendar and the university-wide calendar (EMS).
  • Work closely with other university scheduling staff, including staff from spiritual life, student activities, auxiliary services, and the registrar’s office to ensure that conservatory performance venues are booked according to policies and procedures.
  • Provide direct supervision, support, and training for the Graduate Assistant for Student Recital Bookings to ensure that student recitals and rehearsals are booked according to conservatory policies.

EVENT & PERSONNEL MANAGEMENT

  • Advance technical and equipment needs for all scheduled events, sourcing equipment and submitting work order requests and piano tunings as needed, and communicating needs to Operations Manager and other crew members.
  • Work with the Production Manager of Music Facilities to ensure that all calendar events are appropriately and adequately staffed.
  • In collaboration with the Production Manager, hire, train, schedule, and approve timecards for 30-40 work-study students and Graduate Assistants
  • Set up and run events, workshops, rehearsals, and classes as needed, including working evenings and weekends for special conservatory events, crew training sessions, high-profile guest artist performances, and other events as assigned.

ADMINISTRATIVE & OPERATIONS MANAGEMENT

  • Work with the Director of Physical Plant, Executive Director of Performances & Engagement and Conservatory Associate Deans to maintain oversight of general building maintenance
  • Submit work order requests
  • Oversee special facilities projects and upgrades and maintenance as assigned
  • Oversee and track inventory and maintenance of university instruments and equipment
  • Research, propose and develop options for technical and operational advancements/upgrades as needed
  • Ensure that concert facilities are compliant with local, university and federal regulations as they pertain to fire safety and building code restrictions
  • Oversee general daily operations of music facilities and work with the Conservatory’s front office to ensure administrative supplies are well stocked and available for faculty in Armstrong Hall.

SUPERVISION
This position supervises approximately 30 part-time, temporary undergraduate student employees, 6-10 Graduate Assistant stage crew, and one Graduate Assistant for Student Recital Booking.

Required Skills

This position requires excellent written and verbal communication skills, as well as effective relationship and time management, including in high-pressure situations and in a fast-paced environment. Further, the Production Manager must be highly detail-oriented, flexible in working with a diverse range of faculty, staff, students, guest artists, and patrons, and must be able to execute daily responsibilities and manage situations in a professional and courteous manner.


Required Experience
  • Minimum two years experience working in the capacity of event management, project/facilities management, production management or similar environment
  • Basic knowledge of musical equipment and instruments and performance/production needs
  • Ability and/or interest in learning the basics of live performance lighting and audio production
  • Strong attention to detail and follow through
  • Excellent communication and organizational skills
  • Strong customer service skills and ability to troubleshoot problems particularly in high-pressure environments
  • Exceptional time management skills and personnel management experience
  • Computer proficiency, particularly with Google Docs and Google calendar and/or other fileshare and calendar software
  • Bachelor’s degree with experience in the arts and customer service
  • Valid driver’s license
