Position Purpose

The Executive Assistant to the Senior Vice President and Senior Diversity Officer in the department of Institutional Diversity and Equity ( IDE ) manages the office suite, manages the complex schedule of the SVP, engages with key administrative stakeholders in terms of scheduling, and coordinates office logistics in conjunction with other administrative support staff. This role helps ensure IDE has a constant presence on campus by staffing the IDE suite. The staff member primarily coordinates meetings and meeting preparation for the SVP . This position will be required to exercise considerable discretion and judgment in coordinating and responding to communications on behalf of the Senior Vice President. This person must be comfortable in a fast-paced office environment and demonstrate a high degree of professionalism and confidentiality. The person must be highly organized and able to act independently and in the best interest of the SVP / SDO .

• Bachelor’s degree required plus minimum of five years of administrative experience in an academic or corporate environment
• Excellent interpersonal skills and demonstrated success in working with an executive or related experience
• Exhibited high-level of discretion, confidentiality, diplomacy and good judgment
• Demonstrated experience in handling competing priorities in a complex and dynamic work environment
• Excellent oral and written communication skills
• Demonstrated commitment to diversity, inclusion, and cultural awareness through actions, interactions, and communications with others
• Demonstrated success working in a large and/or complex environment where collaboration with multiple stakeholders and flexibility is essential
• Extremely high level of planning and organizational skills with a strong customer service orientation and ability to problem solve
• Ability to take initiative, set priorities and meet deadlines; able to respond to changes in priorities and can multi-task while managing daily tasks autonomously
• Excellent analytic skills, capacity to multi-task, keep calm under pressure, prioritize and be willing to seek assistance/guidance when needed
• Proofreading, editing skills and excellent attention to detail
• Ability to be perceptive and responsive to direction set forth from leadership
• Team player, reliable and flexible
• Highly proficient with computer applications, preferably MS Office Suite (Outlook, Word, Excel, PowerPoint, and database systems); Able and willing to learn new software as needed.

Key Accountabilities

Description

Office and Calendar Management :
  • Ensures IDE has a constant presence on campus by staffing the IDE suite. Welcome scheduled and impromptu visitors to the Senior Vice President’s office suite.
  • Oversees the management of the Senior Vice President’s daily appointment calendar.
  • Ensures the SVP is prepared for meetings by obtaining details of meeting purpose and relevant documents when applicable in advance of meetings taking place.
  • Assists with plans and arrangements for meetings, resolves any calendar conflicts, including virtual, in-person and off campus meetings.
  • Briefs the Senior Vice President on changes in schedules, emergencies, and emerging schedule priorities in a timely manner.
  • Coordinates meetings includes regular and timely correspondence with administrative staff who report to senior leadership, as well as key campus stakeholders (trustees, administrators, faculty, staff, students, alumni, non-Dartmouth individuals).
  • Manages the SVP departmental email account and respond in a timely manner to requests for information by email or phone engaging the SVP in necessary responses when appropriate.

Primary contact :
  • Supports the Senior Vice President on critical divisional functions and daily operations to manage the work of Institutional Diversity and Equity.
  • Represents the department to internal and external constituents both in person and virtually in a professional manner and serves as the primary office contact for individuals seeking contact with the Senior Vice President.
  • Conveys key issues, concerns, and time sensitive information to the Senior Vice President for appropriate attention and action.

Expense Reporting :
Processes Senior Vice President’s expenses and receipts, including travel-related expenses.
Works with Dartmouth’s Finance department to submit, process, and obtain approval for departmental expenses.

  • Manages Senior Vice President’s physical office space and supplies needed for day-to-day office functions, including ordering supplies and requesting facilities support as needed.
  • Working with other departmental staff, anticipates office needs and manages the organization of all office supplies.
