The Department of Chemical Engineering (CHEG) is seeking a driven and organized Assistant Business Manager. This is an excellent opportunity if you thrive in an interesting and challenging work environment. We are looking for someone who has great interpersonal skills, strong problem-solving initiative, reasoning skills and excellent customer service capabilities.
In this role, you will have the ability to support the financial operations of a medium sized academic department. This role will serve as a resource to the faculty and staff of matters of policy and administration, develop budgets and financial reporting, and administer policies and procedures for department operations. This role serves as the right hand of the Director of Finance and Operations and will have the opportunity to learn a facets of department business.
Your core responsibilities will include:
- Manage effort reporting, certification, scheduling, and
allocation processes;
- Prepare and improve periodic reporting for faculty, student,
and department accounts to include developing KPI reporting and
financial presentation for leadership;
- Conduct financial reconciliations and analysis;
- Oversee financial management and billing process for 3 small
recharge centers;
- Manage accounts receivable functions for the department to
include sponsorships, gifts, refunds, and course fees;
- Oversee and provide guidance on departmental purchasing for
academic, operational, and event-related goods and services,
including overseeing financial approvals;
- Coordinate subcontract and professional services
contracts;
- Provide oversight of financial records retention;
- Collaborate with Director on financial projects including
fiscal close, budgeting and forecasting, and financial
reviews;
- Work closely with faculty, students, and staff to provide
guidance and mentoring on financial procedures;
- Support high volume proposal preparations and manage pre-award
functions of the department;
- Collaborate with Director on operational and administrative
functions of department business;
- Other duties as assigned.
You should demonstrate:
- Ability to maintain composure when dealing with difficult
situations and/or individuals.
- Ability to meet deadlines, work under pressure and with
frequent interruptions.
- Ability to pay close attention to detail; keep and maintain
accurate and detailed reports and records.
- Ability to prioritize work and handle multiple tasks
simultaneously.
- High level of professionalism and strong leadership and
conflict management skills
- Excellent communication, verbal and written, as well
interpersonal relationship capabilities
- Strong computer skills, including experience with Microsoft
Office, Adobe and Outlook

- Bachelor’s Degree in Business Administration or related
field.
- 1-3 years of experience
- Financial, business administration, analytical skills, oral and
written communications skills.
- A combination of education and relevant experience from which
comparable knowledge is demonstrated may be considered.

- Successful background check
- This position is operating on a hybrid schedule, with an
on-campus/in office presence 3 days a week.
- Typical work schedule is Monday-Friday from 8:30-5:00pm. An
alternate work schedule allowing for evening and weekend hours will
be required on occasion.
