Managing Director, AI Institute for Societal Decision Making - School of Computer Science - MLD

The AI Institute for Societal Decision Making at Carnegie Mellon University is currently seeking a Managing Director to join their team. The Managing Director works closely with the Institute Director on all organizational elements of the institute, ensuring smooth functioning of the institute across all sites. They will manage and coordinate the day-to-day administration of this program including developing and implementing program policies/procedures, monitor progress towards Institute goals, working with finance personnel to ensure operations are within budget, coordinating staff and resources, optimizing and improving processes, project reporting, coordinating with evaluators and advisory boards, and keeping stakeholders informed, exercise independent judgment and discretion while managing multiple moving project targets simultaneously and will have the delegated authority to make commitments affecting institute operations.

Your core responsibilities will include:

Project Coordination
  • Coordinate large interdisciplinary and diverse teams and projects, work with interdisciplinary faculty teams across multiple universities and agencies.
  • Assist director and senior leadership team on required reports for NSF.
  • Work with the director, senior leadership team, faculty, and researchers in the institute/center,
  • other affiliated universities, private industry affiliates and government agencies on logistical
  • elements of the strategic plan.
  • Administer subaward agreements including monitoring spending, tracking deliverables and other requirements.
  • Coordinate and aid in institute evaluation, help in alignment and progress towards evaluation goals
  • Recommends program direction.
Fiscal Management
  • Coordinate fiscal responsibility and assist with managing foundation and grant money and
  • recurring institute/center budgets.
  • Work with the director for large purchases and use independent judgment and authority in coordinating institute/center resources and in specifying, ordering, and approving the purchase of equipment, supplies and travel.
  • Assist with budget preparation and administration, annual reports, and work with the financial manager to ensure reports are timely and accurate.
Administrative Management
  • Create and maintain fluid standard operating procedures for administrative duties.
  • Evaluate and ensure adherence to University, sponsor, federal and state laws, regulations, and policies governing funded projects.
  • Manage lab, field, and space issues for CMU for the institute/center and advise other university partners on similar issues.
  • Supervise other program staff in the institute/center.
  • Review all modifications in awards, requests for extensions, and revisions in implementation schedules.
  • Inform the director and senior leadership of changes in federal regulations and laws, state statutes, and municipal ordinances regarding the solicitation, management, and administration of the institute/center contracts and operations.
Engagement
  • Coordinate public information efforts (e.g., press contacts, coordinate with CMU press). As needed, coordinate with students and postdocs.
  • Lead relevant marketing and engagement activities of institute/center public-private partnership.
  • Work with CMU media to maintain and update institute website.
Relationship Management
  • Establish and maintain effective and productive working relationships with all University stakeholders.
  • Serve as administrative contact for other areas at CMU, other institutions, and project sponsors.
  • Interact with sponsors in project reporting (e.g., quarterly report) and communication. Interact with public-private partners in project execution.
Operations
  • Assist Director and senior-level personnel with organizing meetings, projects, reports, presentations, and other duties as assigned.
  • Work with the rest of the team in research and funding acquisition.
  • Work with grant coordinators helping submit proposals.

Qualifications:
  • Graduate degree in STEM field and 3 years of related experience or Bachelor’s degree in STEM field and 5 years of related experience
  • Strong organizational skills and experience coordinating and implementing programs, events, and services.
  • Excellent written and verbal communication skills.
  • Valid driver’s license required
Preferred Qualifications:
  • Experience with research administration and research development within higher education
  • Experience in helping write project reports
  • Experience in helping prepare for project evaluation
  • Experience with orchestrating team science and team development
  • PMP certification
  • Experience facilitating large multi-institutional and geographically spread team and with external collaborators
  • Experience in hosting (running) academic workshops, event logistics
