Job Summary
The Samuel Ginn College of Engineering’s Aerospace Engineering Department is seeking candidates for an Academic Programs Administrator position. This individual will assist the Department Chair and faculty with a variety of high-level administrative/professional program support responsibilities.

Essential Functions
- Assists with office procedures and work-flow; serving as facilitator and approver of access requests and office supply and equipment orders and repairs; Will be back up for effort certification for the department and liaison for e-certs to Contracts and Grants Accounting and the Sponsored Programs office; manages email list servs for graduate students, faculty, staff and the alumni council.
- Assists the Department Chair with document preparation, data management, facilitation of projects and programs, reporting, work-flow assessment and evaluation to improve office operations.
- Assists the Department Chair with scheduling and calendar management. Will also assist the Department Chair with promotion, raise, salary supplement, reclassification, performance review documents as needed, and faculty recruiting.
- Assisting the Graduate Program Officer and Graduate Recruiting Chair with recruitment and retention; working within the Graduate School database, assisting in maintenance of graduate student records.
- Assists with Human Resources and Payroll and Benefits management for the Department’s new employees to include but not limited to: Posting new jobs and closing filled positions for faculty, staff, and TES employees through PeopleAdmin and employment and Temporary Services.
- This position prepares and processes EPAFs, SWTs, Late Pays, Prov 200s and creating summer faculty jobs in a timely manner with minimal errors. Serving as backup timekeeper, approver of hours worked and leave taken.
- Assisting the Department Chair with faculty recruiting. Assists with Aerospace event planning and coordination.
- May assist faculty and staff, and sponsors to advise and/or assist with the preparation and submission of proposal review documentation for compliance with University, legal, and cost accounting standards, and other guidelines.
Minimum Qualifications
Education and Experience:
Level I: Bachelor’s degree in discipline related to program with no experience.
Level II: Bachelor’s degree in discipline related to program plus 2 years experience in project or program administration. Experience must include at least 2 years at the preceding level or equivalent.
Level II: Bachelor’s degree in discipline related to program plus 4 years experience in project or program administration. Experience must include at least 2 years at the preceding level or equivalent.
Substitutions allowed for Education:
When a candidate has the required experience, but lacks the required education, they may normally apply additional relevant experience toward the education requirement, at a rate of two (2) years relevant experience per year of required education.
