Program Coordinator for Dolan Centers

Job Description:

Reporting to Assistant to the Dean and Budget Manager, the program coordinator provides essential administrative support to the Fairfield StartUp, Dolan Career Development Center, and the Patrick J. Waide Center for Applied Ethics. The position’s primary responsibilities include, but are not limited to:

Event Management – Facilitate the logistics for events, including room reservations, venue set-up, media/technical needs, catering, photography and hands-on management and support during events. Distribute and collect evaluations as appropriate after events to measure impact and to meet sponsorship reporting needs. Provide administrative support for periodic meetings of executive board, advisory councils, and other stakeholders.

Marketing/Communication - Streamline communication and outreach to effectively market centers’ resources, events, services, employer and recruiting programs, and initiatives. Respond to inquiries/questions, update calendars, maintain mailing lists, marketing tickets, contact faculty/students/mentors. Submit tickets to update website, request print and promotional items, utilize University Announcements, Life@Fairfield and Canva to promote events. Communicate with University Foundation and Advancement to uphold required branding and reporting for sponsorships. Maintain programming calendars for the Centers.

Trip Planning - Plan and coordinate logistics for Silicon Valley Immersion trip, regional and national competitions, and field trips.

Submission of Courses with Registrar - Submit courses for the Dolan Career Development Center and the Patrick J. Waide Center for Applied Ethics to Registrar and manage the flow of communications with appropriate faculty.

Skills Needed/Experience
  • A bachelor degree is required

  • Proficiency and comfort in using Microsoft Office (Outlook, Word, Excel, PowerPoint), Slack, Canva and new apps as needed

  • Excellent planning and organization skills

  • Reliable in completing tasks

  • Excellent communication skills, both verbal and written, to keep all parties apprised of current status of projects and timelines

  • Attention to detail

  • Event Management, Marketing and Promotional Communications experience a plus
