Salary Basis: 12 month
Responsibilities:
- Perform secretarial functions including composing and typing letters, reviewing and maintaining student files and maintaining critical accreditation documents.
- Serve as the department's receptionist; greeting and serving incoming visitors, current students, and prospective students; answering the telephone; taking the appropriate information and making referrals as needed.
- Process and maintain personnel data such as leave and overtime reports, employee action forms, and supervising student workers.
- Request, maintain, and process all purchase orders and requisitions including faculty travel, reimbursement and development requests, P-card and Travel card statements, etc.
- Request reservations and facilities for departmental activities as needed.
- Assist the department with grant and simulation activities as needed.
- Request desk copies and instructional resources for faculty.
- Provide accounting assistance in helping prepare and complete the budget, recording expenses, recording revenues, recording monthly accounts, and providing receipts for all.
- Maintain the security of the department's location (i.e. locking doors, keeping confidential files secured) including nearby classrooms, EASE Center, faculty offices, and any other storage resources used by BSW faculty and students.
- Support and assist with departmental activities and student organizations monthly meetings, special projects, and events.
- Coordinate with CE planning committees to assist with department-sponsored events through administrative support in planning, registration, email correspondence, on-site management, and documentation of all continuing education events provided.
- Maintain proper storage of all documentation relevant to accreditation; compile files and reports as needed; assist with lodging and travel for site visitors representing the Council on Social Work Education.
- Assist with student documentation; refer licensure documents to the appropriate recipient, maintain files of field education documents such as background checks and liability insurance.
- Communicate regularly and respectfully with all faculty and serve as an administrative support to the Chair.
- Assist in the supervision of work-study and graduate students, research assistants, and field interns.
- Assign BSW faculty advisors and maintain student advisee lists.
- Regularly handle all departmental incoming and outgoing mail and shipping.
- Maintain all departmental inventory, supplies, and equipment.
- Coordinate with departmental CE and Planning Committees on CE or workforce development training workshops which includes developing brochures, posting on social media, sending emails, reserving and managing facilities and refreshments, managing and filing registration and CE documentation, etc.
- Perform other duties as assigned.
Qualifications:
This position must have at least a high school diploma or GED and be able to work well with people. Must have a valid driver’s license. Some college or secretarial experience preferred. Experience with Word, Excel, Publisher, and Banner preferred.

Salary:
12 monthCommensurate with experience, qualifications, and university’s resources.
