Retention Coordinator

Overview

The Retention Coordinator is responsible for coordinating retention and data management that support student success outcomes. He/She is responsible for supporting the phases of Retention Services in the division and institution. He/she maintains a current knowledge of appropriate college and academic policies, processes and procedures in an effort to assure efficiency and integrity of Retention Services. Serves as lead for data management, collection, and analysis for all initiatives and projects coordinated by the division. Oversees and/or participates in the coordination and completion retention and data related projects.

Responsibilities
  • Maintain and document assigned students persistence and progression activity towards degree completion
  • Serve as an instructor for the Student Success Course for SAP students
  • Manage recruitment, scheduling, and success planning for assigned program participants
  • Coordinate student success programs, seminars, and other innovative initiatives that facilitate student learning and support towards degree completion
  • Assess students needs based on collected and historical data to develop student success plans for successful completion.
  • Manage summer transition program logistics and initiatives
  • Responsible for assigned early alert, recruit back, SAP, mid semester, and other campus-wide retention initiatives facilitated by retention services
  • Collaborate and engage with faculty and campus wide student service departments to facilitate student success initiatives and projects that improve persistence, progression, retention, graduation, and completion.
  • Coordinate and manages all retention services data collection, input, analysis, and quality assurance for all student data within internal data management system.
  • Maintains efficiencies, processes, and data within Retention Services; as well as, assigned campus wide student success initiatives
  • Monitors reliability and accuracy of all data content uploaded and disseminated from Retention Services
  • Responsible for data processing, data entry, and quality of assurance for ensuring comprehensive and credible source of information for providing accurate data reports
  • Coordinate and collaborate with Institutional Research for retention related data needs for reporting and routine auditing
  • Establishes and maintain internal data management and control for efficiency
  • Coordinate daily student record reconciliation including management of student roster file details and student support service activities
  • Set Up and manage communication (email, texts, social media, flyers, etc.) templates within system for mass student success campaigns to enrolled students.
  • Collaborate with campus-wide student services department for student success data inquiries
  • Responsible for maintaining and deploying student and retention reports to key stakeholders
  • Responsible for communicating daily student success reports from SID, and any other third party systems that house relevant data.
  • Responsible for data integrity, and execution of all administrative processes for all retention services initiatives and projects.
  • Utilizes knowledge and understanding of underlying operational issues to assist in administrative problem
  • Assists in the coordination and completion of special projects as requested
  • Serve on student success related committees as a representation of the department
  • Enhances professional growth and development through participation in educational programs, current literature, in-service meetings, conferences, trainings, and
  • Understands and adheres to the Values, Mission and Vision of Claflin University and the Office of Retention Services.
  • Provides and Promotes Excellent Customer Service at all times.
  • Performs other duties as assigned.

Qualifications

Qualifications
  • Knowledge of effective student success and retention strategies
  • Demonstrated skills in program assessment; data collection, reporting, and analysis to inform decision making
  • Working knowledge of student information database system
  • Working knowledge of using SPSS for data analysis
  • Proven knowledge and experience using Microsoft Office365 software, specifically proficient in the use of Publisher, Outlook, Word, Excel, and PowerPoint. Also Microsoft One Drive, Forms, TEAMs
  • Demonstrates excellent written and oral communication; and time management/task driven skills
  • Demonstrates excellent organizational skills with ability to manage multiple tasks simultaneously
  • Demonstrates ability to work independently as well as collaborative with other campus departments
  • Ability to organize and plan effectively and efficiently as a team and independently
  • Maintains the highest level of confidentiality and professionalism at all times
  • Pleasant, courteous and professional customer service skills
Other Hiring Criteria
  • Applicants must meet the following minimum requirements:
  • Bachelors Degree in an academic discipline in Arts or Science. (Sociology, Counseling, etc.) Masters Degree preferred.
  • Experience working on a college campus in a student services office with a diverse population of college level students
