JOB SUMMARY
This position is responsible for the preservation of the integrity, accuracy and privacy of all academic records by upholding the value of courses taken and degrees conferred and being the official custodian of all the academic records of past and currently enrolled students. The University Registrar will provide strong leadership consistent with the academic goals and mission of the institution and will work to foster a student-centered and excellent customer-service-oriented approach to operations.
The University Registrar works with other administrators, including Student Success, Admissions, Financial Aid, the Bursar’s office, Academic Affairs, Athletics, and faculty, to coordinate times and locations for class meetings and resolve scheduling conflicts. Other responsibilities include keeping records of all college classes and curriculum prerequisites, determining students' graduation eligibility, assisting with planning commencement activities and preparing information such as honors lists, transcripts and class rankings.
The University Registrar directs and coordinates university registration activities by performing the following duties personally or through subordinate supervisors.
ESSENTIAL DUTIES & RESPONSIBILITIES
Consults with other officials to devise registration schedules and procedures.
Analyzes statistical data on registration for administrative use in formulating policies.
Exchanges student information with other colleges or universities.
Directs preparation of student transcripts and commencement list.
Directs preparation of statistical reports on educational activities for government and educational agencies and interprets registration policies to faculty and students.
Directs activities of workers engaged in transcribing and evaluating academic records of students applying for permission to enter college or university.
Directs compilation of information, such as class schedules and graduation requirements, for publication in school bulletins and catalogs.
Coordinates dissemination of information on courses offered and procedures students are required to follow in order to obtain grade transcripts.
Issues official transcripts.
Coordinates class schedules with room assignments for optimum use of buildings and equipment.
Assigns rooms for student activities.
Other related duties and responsibilities as assigned.
ADDITIONAL DUTIES
Oversees the conformity of educational record use, dissemination, and privacy of student information to College policies and legal requirements, including the Family Educational Rights and Privacy Act (FERPA) and other applicable laws and regulations as well as those of other regulatory agencies.
Develops, proposes, and implements (upon approval) a multi-year academic calendar.
Provides leadership on issues pertaining to all IT services provided by the Registrar’s Office including the development and maintenance of computerized records and registration systems.
MINIMUM QUALIFICATIONS
Bachelor’s degree,
Five to ten years progressive experience in higher education with the majority of time spent in a Registrar’s office or related experience and/or training.
Working knowledge of student information databases and office suite software packages, use of HTML desirable.
Knowledge of academic standards governing student probation, suspension, and/or expulsion.
Must communicate effectively with people from varied social, educational, and economic backgrounds.
Proven record of successful supervisory experience in a people-oriented environment.
Must be able to work without constant supervision, make decisions, and exercise good judgment.
Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
Must be able to handle multiple tasks and projects and prioritize based on departmental functionality.
Ability to maintain a high level of confidentiality.
Strong team orientation.
Must have a high level of professional appearance and demeanor.

WORKING CONDITIONS
Work is primarily performed in a university campus environment and requires a flexible scheduling including evening and weekend work. Travel for administrative work is expected. The employee is subject to inside environmental conditions; protection from weather changes, but not necessarily temperature conditions.
PHYSICAL DEMANDS
Moderate lifting up to 20 pounds as frequently as needed to move objects; dexterity to write and manipulate computer keyboard and mouse; ability to hear and speak clearly; and body mobility to stoop, kneel, and bend and reach.
