Position Summary

Under the broad supervision of the Assistant Director of Admissions, the Admissions Coordinator reviews all aspects of NMHU admission; determines admissibility, transferability of core credit, and residency for all new and re-enrolled students. This role must have the ability to learn procedures and activities of the admissions and university processes/cycles; communicate with and advise students, parents, college and career officials, NMHU centers, faculty, academic departments, and colleges individually via phone, email, and in-person on matters related to admissibility, transfer credits, exam placement credits, and prior learning assessment credits. The position works directly with the computerized customer relations system to communicate with students, process admissions, prepare reports, analyze data, and assist with implementing admissions-related policies and procedures. This person must have the ability to think critically about processes, understand databases, self-correct mistakes and report them as necessary.

Duties and Responsibilities

DUTIES AND RESPONSIBILITIES : include, but are not limited to;
• Determines admissibility, transferability of core credit, and residency for all new and readmitted undergraduate students; provides input and recommendations in determining the admissibility of “special consideration” cases;
• Counsels and advises students and families about educational opportunities, admission, transfer of credit, and university policies and requirements;
• Serve as the primary point of contact for interested prospective applicants, working closely with each individual to provide polite and timely responses;
• Screen applications to ensure admissions eligibility requirements are met, all required documents are received, and applications are complete;
• Coordinate and monitor the electronic batch request processing for applicants;
• Perform online research on the high school curriculum, college course curriculum, and articulations;
• Perform detailed work requiring judgment, accuracy, and speed while maintaining quality, transcribing courses for applicant and student records;
• Participates in school visitations and college programs for prospective students; coordinates on-site admissions at two-year institutions and high schools; represents the university in its recruitment efforts and in providing special outreach services in the community and state;
• Acts as liaison with various constituencies, including students, parents, high school and two-year school officials, faculty, academic departments and colleges, athletics, and alumni;
• Maintains communication by phone, email, and mail correspondence with prospective students through all stages of the recruitment and admission process in a courteous, clear, and timely manner;
• Utilizes customer relations system to communicate with students, process admissions, prepare reports, and analyze data;
• Assists the Director in ensuring continuous improvement of the admissions process based on applicant experience and feedback. Provide quality assurance checks and escalate any heightened applicant concerns to the Director;
• Assists the Director with formulation, development, and implementation of admissions-related policies and procedures;
• Assist with departmental activities as needed and participates in university-wide events;
• Participates in various campus committees and state and regional professional organizations;
• Benchmark national admission best practices and continuously implement new initiatives;
• Maintain regular attendance;
• Performs other miscellaneous job-related duties as assigned.

Minimum Job Requirements

• Bachelor’s degree (required by time of appointment); or at least three (3) years of experience directly related to the duties and responsibilities specified

Preferred Qualifications

• Prior experience working in higher education;
• Knowledge of New Mexico Highlands University and its programs;
• Knowledge of post-secondary admission procedures;
• Experience working with customer relations management system;
• Prior experience working as a student employee in an academic student support unit;
• Experience working independently and with a high level of accountability;
• Prior experience delivering presentations to large and small audiences;
• Experience in social media platforms;
• Bilingual

Special Conditions for Eligibility

• Must be willing to work some evenings and weekends, as required by the position;
• Must possess and maintain a valid driver’s license;
• Must be willing to operate a University vehicle.

Knowledge, Skills, and Abilities

• Proficiency using computers and related IT equipment, including, but not limited to: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and SharePoint); Acrobat Pro, Google Docs, Web browsers (Google Chrome, Internet Explorer, Mozilla Firefox), university administrative databases (Banner, Customer Relations Management ( CRM ), Banner Document Management System ( BDMS ), Transfer Equivalency Management System, People Admin);
• Proficient user of laptop computer, projector, and cell phone;
• Must be creative, self-motivated and have the ability to work independently;
• Ability to present oneself with a professional presence and demeanor;
• Ability to maintain confidential information and inquiries with discretion;
• Ability to maintain exceptional customer service and people skills;
• Knowledge of customer service standards and procedures;
• Ability to display a keen attention to detail and produce desired results;
• Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community;
• Ability to develop and deliver presentations;
• Ability to communicate effectively, both orally and in writing;
• Knowledge of programs/services available to university students;
• Knowledge of community outreach practices;
• Ability to process computer data and to format and generate reports;
• Ability to interpret, adapt, and apply guidelines and procedures;
• Ability to investigate and analyze information and draw conclusions;
• Knowledge of electronic calendar systems for meetings, conferences, and travel;
• Strong organizational skills, and ability to organize workload to ensure deadlines are met; schedule work assignments in order of priority and date received;
• Ability to evaluate student transcripts and/or records;
• Strong verbal and written communication skills; capable of establishing a courteous and professional rapport through distance communication tools;
• Ability to maintain student records in a robust customer relations management system;
• Ability to work in a fast-paced, cross-functional, matrix team environment.

Physical Demands

• Extensive driving hours when required to travel;
• Walking for extended periods of time, providing campus tours when required;
• Constant sitting for extended periods of time;
• Repetitive hand motions and prolonged use of computer;
• Kneel, bend, reach and stoop;
• Must occasionally lift and/or move up to forty (40) pounds.

Working Environment

• Work is normally performed in a typical interior/office work environment;
• During peak times, campus tours will be required;
• Working offsite as needed to visit high schools, and colleges when required;
• Work with frequent interruptions.

Pay Rate
$45,510.40
