Job Description

The Director of Minnowbrook Conference Center manages all aspects of the conference center, including but not limited to facilitating meetings, professional development, conventions, and other public and private events. This includes the supervision and coordination of assigned staff, oversight of all procedures, and troubleshooting problems.

The director attends to details to ensure each event operates smoothly and resolves any issues that arise prior to and during the course of the event. She/he develops operating policies and procedures and directs the work of all department managers, implements and monitors the budget, monitors the quality of the conference center’s products and services, and ensures maximum guest satisfaction.

The director secures and protects the conference center assets, including facilities and equipment. Identify revenue enhancement opportunities such as new and improved service, expanded guest offerings and incorporating the latest trends in conference and meeting management. Additional responsibilities include all aspects of facility operations, booking, contract preparation, ensuring collecting payments and permits, pre-and post-event inspections, inventory control, direct final billing, financial report evaluation, and the use of technology.

Qualifications

Bachelor’s degree in business administration, hospitality management, or related field of study from an accredited university, and a minimum of 7 years of progressively responsible experience in financial and facilities management, conference center or hotel management, or an equivalent combination of education and experience is necessary. Effective leadership and supervisory skills. Ability to work a varied schedule to meet operational needs. Must be forward thinking, entrepreneurial and proactive.

Previous experience of managing an operating budget with P&L responsibilities. Previous management experience with including managing direct reports. Expertise in service excellence and high-end recreational programs. Direct experience managing food and beverage operations as well as special events.

  • Must be able to set priorities, make decisions and work independently and as part of a team.
  • Facility management experience must include capital planning, preventative maintenance and custodial.
Responsibilities

Oversees the operation of the Minnowbrook Conference Center; ensures policies and procedures are followed; greets the public and works with parties interested in utilizing the facility; provides information on services and spaces available; gives tours to showcase the facility; and promotes the conference center when appropriate. Manage day to day operations of Minnowbrook including, setting work objectives for the staff, coordinating housekeeping and dining needs for guests, evaluate and maintain facility infrastructure and grounds, ensure product quality and customer satisfaction, update and create operational procures as required.

Coordinate the marketing and promotion efforts of the facility. Serve as primary contact for prospective and current clients both internal and external to the University. Helps market and promote the facility through the use of social media including but not limited to Facebook, Twitter, the Syracuse University website, and through the development of appropriate printed materials.

Budget planning including the development of expense and revenue objectives in consultation with Auxiliary Services business operations. Develop room rates and negotiate as necessary with clients to increase revenue and profit.

Provides advice and recommendations to the Associate Vice President of Auxiliary Services and committees about construction, alterations, maintenance, materials, supplies, equipment, and services not provided in approved plans and/or budgets. Oversees the care and maintenance of all Minnowbrook’s physical assets and facilities. Adhere to University policies and procedures, all regulatory compliance requirements (health codes, OSHA, safety, DEC, etc.)

Meets with prospective and actual clients regarding all aspects of Minnowbrook Conference Center. Provides packets of information as needed. Checks availability and schedules room utilization as appropriate to reflect set up, event and post-event cleanup. Prepares contracts and reviews fees and other requirements with clients. Coordinates with clients and collects deposits, insurance certificates, health and/or alcohol permits, signed contracts and payment for charges incurred. Meets with clients and conducts pre-event and post-event inspections.
