The Human Computer Interaction Institute is searching for a Deputy Director to oversee the management of all support staff within the department. This role serves as a resource and advisor to faculty and staff on matters of policy and administration, provides informational and day-to-day operational support, and develops budgets, financial reporting, and related business analysis.

This role will oversee all administrative functions within the HCII. These include:
  • assignments of support staff to faculty
  • Director’s office operations, which include oversight of faculty meeting management, RPT, faculty hiring in conjunction with the Director’s administrative assistant
  • Assist with space within HCII
  • Business office
  • HR/Payroll function
  • Academic program staff, esp cross-program assignments
  • Represent HCII in some SCS or CMU level meetings, e.g. conference rooms assignment meetings, classroom assignment meetings
  • Marketing, communications, website, department branding
  • Act as liaison to Advancement groups at the SCS/University level
  • Potentially reorganize the staff and their functions in consultation with staff and the Director
  • Hold monthly staff meetings
  • Manage in-office staff spreadsheet
Human Resources: Directly or indirectly supervise all staff for the institute. Includes direct day-to-day assignment of work to research administration staff, business office lead, and faculty support team. In cooperation with the Employment Processes Manager, oversees performance evaluation and salary review processes and develops training plans/pathways for staff members. Advises faculty and staff supervisors on matters of policy.

Faculty Operations: Oversee faculty reappointment and promotion processes. Work with the department head and dean’s office on new faculty hiring, including offer letters and initial start-up package funding. In conjunction with the Employment Processes Manager, oversee the annual renewal of special faculty members, including post-docs. Advise faculty on policy matters related to faculty appointment tenure, promotion, leaves, etc.

Financial Operations: Oversees financial operations for the Institute, including financial reporting and analysis, and planning and budget preparation. In consultation with the Business Manager advise the department head on all financial matters. Will work closely with the Business Manager on implementation of department budgets and forecasts in appropriate university systems. Oversee business office, including pre-award/post-award for all sponsored research.

Process/Policy Management: Develop, implement, and enforce departmental and university policies and procedures. Interpret existing guidelines for the department head, faculty, and staff. Work with other units on campus (OSP, OGC) to develop new policy documents, templates, and agreements. Conduct training sessions for staff/faculty members on new/revised policies.

Program Support: Provides high level support to selected academic and other programs within the department (e.g., CMU|Portugal, MHCI, BHCI, PhD, IDeaTE). Advises faculty and staff on matters of policy as they relate to academic programs and student issues. Manage staffing levels across programs within the institute and standardize processes where appropriate.

Sponsored Research Administration: Responsible for oversight of the institute's research business. With the Business Manager, designs and/or improves processes related to pre-award and post-award sponsored research management. May conduct training sessions for staff as necessary; acts as an information resource and advisor on research matters to the Director, and others in the SCS community. As needed, serve as a backup for the Institute's research team. Interfaces with research related university organizations and offices (e.g., OSP, SPA, Purchasing, OGC, etc.).

Qualifications:
  • Bachelor’s Degree in Finance, Accounting, or related field.
  • 5-8 years of relevant work experience
  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
