Responsibilities
  • Oversees scholarship activities to ensure appropriate use of resources to align with and accomplish recruitment and retention goals and meet donor intent, as well as ensure compliance with policies and regulations
  • May assist with budgetary oversight for the school/college
  • Provides support in the administration of the school/college component of the electronic scholarship system including the application, awarding process, and donor communication
  • Assists with the training and support for units and students in use of the scholarship system
  • Works with internal stakeholders to identify issues and work towards solutions to problems as they arise in all levels of scholarship activities including student application processes, application review, scholarship awarding, account reconciliation, and donor communication and outreach
  • Builds strong relationships with campus partners, academic departments, Human Resources, Business Services, and external stakeholders to ensure effective practices in scholarship activities
  • May exercise supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 FTE or equivalent employees
Detailed Responsibilities:

Manage scholarship administration and donor stewardship for new and existing scholarship funds (50%):
  • Provide information to donors contemplating the establishment of new funds
  • Work with donors and departments to create and/or finalize criteria for scholarships
  • Draft scholarship fund agreements, ensuring scholarship criteria are in compliance with all University, Foundation, state, and federal policies and regulations, and ensure they are signed by all parties
  • Calculate available scholarship funding prior to launch of the annual scholarship cycle and disseminate available award information to departments, providing updates as additional funding becomes available
  • Secure contributions from scholarship donors for annual, non-endowed awards and to supplement earnings on endowed funds
  • Build strong relationships with campus partners to effectively administer scholarship funds according to donor fund agreements and in compliance with University, Foundation, state, and federal regulations
  • Oversee and/or participate in the selection process for several scholarships
  • Provide stewardship to scholarship donors, including but not limited to communicating award status, facilitating recipient thank-you letters, and answering any questions the donor has on their recipients or funds
  • Reconcile scholarships awarded against actual disbursements and account charges. Initiate the University billing process on behalf of the Foundation.
  • Promote scholarship opportunities to students and staff
  • Develop and administer scholarship policies and procedures
  • Develop scholarship reports for donors, publications, and other purposes as needed
  • Identify potential scholarship-related story ideas to feature on the Foundation and Advancement websites
  • Work with University Marketing and Communications on project requests for marketing materials promoting donors, award recipients, and scholarships
Administer Blackbaud Award Management scholarship system (35%):
  • Create new award opportunities and maintain existing scholarship opportunities to ensure applications and review committees stay accurate and up to date
  • Monitor scholarship applications and selection to ensure scholarships are awarded consistently and according to terms documented in donor fund agreements
  • Process scholarship award offers in Blackbaud Award Management and oversee awarding levels to help ensure students aren’t over awarded aid. Provide detailed award information to the Financial Aid Office for disbursement.
  • Provide scholarship software training to departmental contacts and other internal stakeholders
  • Monitor scholarships@uwosh.edu email account. Assist students and staff with scholarship questions and concerns.
  • Assist students, staff, and other users with login and other technical issues, contacting Blackbaud to resolve issues as necessary
  • Perform annual cycle management to prepare the scholarship system for the upcoming scholarship cycle
Administer Blackbaud Stewardship Management system (10%):
  • Research and prepare scholarship donor bios for posting in the scholarship system
  • Manage the post-acceptance process to ensure recipient information is accurate and available to disseminate to donors
  • Import fund information and generate fund reports for donors
  • Review and publish all fund reports and recipient information to donors and notify via email, or download and mail reports according to donors’ communication preferences
  • Maintain donor contact information within the stewardship system and ensure accuracy with Raiser’s Edge
  • Assist donors with login and other technical issues, contacting Blackbaud to resolve issues as necessary

Qualifications
Required:
  • Bachelors Degree
  • Proficiency with Microsoft Office Suite
  • Strong documented skills in the areas: customer service, written and oral communication, teamwork, attention to detail
  • Manage multiple tasks and effectively organize work to meet deadlines
  • Demonstrated commitment to diversity, equity, and inclusion

Preferred:
  • Donor relations experience
  • Higher education or non-profit experience
  • Experience in a position that required confidentiality, discretion and strong ethical character
