Assistant Director of Advancement Services

BASIC FUNCTION:

The Assistant Director of Advancement Services is responsible for the data integrity of the Advancement CRM and, along with the Director of Advancement Services, will establish policies, procedures and long-term strategy, guided by industry best practices for Advancement data management. Ability to initiate, lead and manage projects and take ownership of the training of new Advancement personnel. In addition, this role will provide data support to achieve the fundraising goals of University Advancement.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • In collaboration with the Director of Advancement Services, be responsible for data extraction of mailing lists, gift data, email lists and other daily requests for data support by the University Advancement staff.
  • Working with the Director of Advancement Services, build queries and maintenance reports to ensure data integrity.
  • Maintain and monitor the flow of data to and from other data systems to Advancement CRM in collaboration with other departments.
  • Develop, document, and maintain procedures.
  • Train end users on use of the system providing ongoing support and training, responding to end user questions.
  • Strong functionality with conditional mail merges with a focus on donor acknowledgement letters generated from the CRM.
  • Working with the Director of Advancement Services, execute systems to streamline and automate routine tasks associated with data and gift entry as well as event tracking and other essential processes.
  • Work on special projects such as data appends and wealth screenings.
  • Provide data and gift entry support for all CRM functions.
  • With Annual Giving team, coordinate Phonathon calling groups and delegation of Phonathon data maintenance.
  • Supervise Advancement Services Assistant and student workers who assist with data entry.
OTHER DUTIES AND RESPONSIBILITIES:

Collaborate with Advancement Services team to maintain essential daily operations and workflow. Perform other duties as required by the Director of Advancement Services.

LICENSES, TOOLS AND EQUIPMENT:

Valid driver's license required.

ENVIRONMENTAL CONDITIONS:

The incumbent is not substantially exposed to adverse environmental conditions.


Requirements:

A Bachelor's degree is required. A minimum of five years' experience in Advancement data management or related work. Experience with Advancement CRMs, Blackbaud Raiser's Edge preferred. Proficiency with Microsoft Office, including thorough knowledge of Excel. Demonstrated knowledge of database methodologies. Detail oriented self-starter with a strong work ethic. Proactive program solver; able to uncover issues and provide solutions for resolution. Ability to initiate, lead and manage projects, and to multi-task and prioritize requests, delivering results on time. Excellent written and communication skills. Ability to maintain confidentiality and handle sensitive donor information. Work effectively as a team member or independently as appropriate. Ability to collaborate with system users and University staff. Hybrid schedule eligible.
