Accounts Receivable Clerk



A successful candidate will play an active role in FMU's existing academic and operational success. The Account Receivable Clerk shall be primarily responsible for ensuring that the university receives payment for goods and services offered to all clients. They will work with other departments to verify, record transactions, and resolve account discrepancies. Ensuring to collect the correct amounts from their customers on time by providing the necessary support throughout those processes. This customer-centric role is responsible to deliver service excellence support to meet the needs of our University community. Demonstrates the professionalism needed to handle sensitive and confidential matters.

Essential Functions:
  • Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.
  • Creates invoices according to company practices; submits invoices to customers.
  • Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
  • Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent account holders to request payment.
  • Creates reports regarding the current status of customer accounts as requested.
  • Research customer discrepancies and past-due amounts with the assistance of the Collections Manager and other staff.
  • Collaborates with the Collections Manager to reconcile accounts receivable on a periodic (at least bimonthly) basis.
  • Assists in generating monthly billing statements based on the general ledger.
  • Assists the Accounting Manager in reconciling revenue accounts each month.
  • Copies, files, and retrieves materials for accounts receivable as needed.
  • Relays changes of information to appropriate employees.
  • The omission of specific duties does not preclude the supervisor from assigning duties that logically relate to the position.
Required Knowledge, Skills, and Abilities:
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite or related software as well as other accounting software programs.
  • Ability to operate related office equipment, such as computers, 10-key calculators, and copiers.
  • Ability to work independently and in a fast-paced environment.
  • Ability to anticipate work needs and interact professionally with customers.
  • Excellent organizational skills and attention to detail.
  • Must be able to work well with students, faculty, staff, and the community.
  • Ability to perform complex tasks and prioritize multiple projects.
  • Ability to handle information of sensitive and confidential nature in the utmost professional manner. Demonstrate a high level of professionalism, initiative, resourcefulness, and personal accountability.
  • Maintain the privacy and confidentiality of information, protect the assets of the institution, act ethically and with integrity, and adhere to FMU’s Code of Conduct and policies and procedures.
  • Effective analytical and decision-making skills. Excellent communication (oral and written), organizational, and time management skills. Effective interpersonal skills and ability to work with diverse constituents.
  • Moderate physical activity. Requires handling objects of average weight up to fifty (50) pounds or standing and/or walking for more than four (4) hours per day.

Qualifications:
  • High school diploma or equivalent required, associate’s or bachelor’s in Accounting preferred.
  • At least two years of related experience is required.
  • Ability to perform complex tasks and prioritize multiple projects.
  • Proficiency in MS Office Suite, and LinkedIn Learning, as well as knowledge and understanding of the organizational structure, workflow, and operating procedures. Familiar with the Jenzabar technology suite for higher education.
  • Flexibility to work outside of normal business hours, and ability to maintain a flexible work schedule that may include working nights and weekends.
  • Pre-Employment screening is required: criminal background check and drug testing.
