Position Summary:
The UNM School of Engineering Gerald May Department of Civil, Construction & Environmental Engineering seeks an experienced and driven professional interested in joining our diverse and complex Department as an Accountant III. The ideal team member will be a highly motivated, detail-oriented, results-driven professional who can coordinate financial goals and fiscal work with internal and external personnel and constituents.

This position is under the direct supervision of the Department Administrator. The functions of this position are considered crucial to the general health and well-being of the Department and Centers, and this position is responsible for all finance, accounting, budgeting, and purchasing activities. The Accountant III position assists faculty with all pre-award functions and monitors all Department and Center accounting activities. The Accountant III performs advanced accounting functions and provides management of the Department and Centers' various I&G, grant, overhead, Endowments/Foundation accounts; prepares monthly financial and statistical reports and statements; oversees the activities of other fiscal support staff within the Department and Centers; and manages a variety of different projects as needed. Accuracy and timeliness are essential for this position.

General Duties and Responsibilities:
  • Prepare and enter financial data within the budget and salary planner.
  • Monitor and maintain appropriate funding levels for the department and its centers.
  • Prepares journal vouchers, budget and correcting entries, internal budget revisions, and 90-day memos.
  • Prepares faculty and staff salary allocations and redistributions.
  • Undergraduate and graduate student contract submissions and revisions. Execute pre-award activities and award set-up.
  • Execute pre-award activities and award set-up. Assists Faculty with pre-award functions, such as budget preparation, proposal submissions within the UNM platform, manage awarded grants, prepare post-award documents, process requests for extensions, track incremental grant obligations and multi-year awards, etc.
  • Gathers financial data per funding agency requests.
  • Keeps abreast of university policies and procedures, current developments in the accounting profession, and changes in local, state, and federal laws.
  • Analyzes budgetary expenditures for compliance with funding agencies' budgets, policies, and procedures.
  • Creates status of indices worksheet.
  • Set up shared files for monitoring of project life cycle.
  • Create policies and procedures required for contract administration and center operations.
  • Attend University trainings and meetings to provide input and refine/develop financial problem-solving strategies for the Department and Centers.
  • Oversees daily processing and accounting for revenue and expenditures of the Department and Centers; reviews and reports financial transactions to funding sources; ensures accuracy, completeness, and compliance with university, local, state, and federal requirements and standard accounting and audit procedures. Review audit inquiries and prepare responses as necessary.
  • Department Designated Approver for all financial transactions.
  • Monitors and maintains key accounting information for the Department and Centers within the Banner finance system and develops and maintains a departmental shadow system.
  • Maintains unrestricted and/or restricted fund ledgers; provides specialized accounting for the maintenance, control, and reporting of revenues, expenditures, assets, liabilities, equities, and payroll.
  • Prepares monthly statements for the Chair, Faculty, and Department Administrator to include account balances and expenditures and communicates comprehensive information on accounting policies and/or procedural changes.
  • Analyzes and interprets financial data and prepares financial reports, statements, and/or projections as required; interprets and analyzes financial operations and transactions; maintains forecasting tools and trends; develops special complex reports and analyses for management and funding agencies; makes recommendations for asset utilization and expenditure control.
  • Performs miscellaneous job-related duties as assigned.

Minimum Qualifications: Bachelor's degree and successful completion of at least 15 credit hours of university-level accounting through intermediate accounting; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.


Preferred Qualifications: • Setting priorities and meeting critical deadlines.

• Maintaining financial records and preparing clear and accurate complex reports for informational, auditing, and operational use.

• Extensive knowledge and application of university or professional accounting policies and principles.

• Advanced critical thinking and problem-solving skills.

• Experience working with UNM accounting, budgeting, and purchasing systems, including Chrome River (PCard), Loboweb Purchasing, Banner Time Entry and Approvals, Banner Finance, Salary and Budget Planner, Projections, and Categorization of Reserves.
