The Academic Advising Office at the Krieger School is seeking an Academic Program Assistant who will assist the Office of Academic Support with the coordination, facilitation, and implementation of peer led academic support programs which serve undergraduate students in both the Krieger School of Arts and Sciences and the Whiting School of Engineering. This is a full-time, non-exempt, 28-hour per week position. This position will report to the Assistant Director of Academic Support.

Specific Duties & Responsibilities:

    Assist with the coordination of daily tasks to support peer led academic support programming. Assist with the recruiting, hiring, and training of student staff tutors, mentors, and facilitators. Support organization of the student staff recruitment and interview process including running interviews for new tutors, mentors, and facilitators. Provide human resource support for student staff positions including student payroll transactions, salary changes, hiring and termination Internal Service Requests and other tasks associated with student employment services. Assist with event set-up, vendor relations and overall planning for program trainings and events. Organize schedule of room locations on campus for tutoring and mentoring sessions as well as study spaces around mid-term and final exams. Review tutor and mentor logs, time logs and student attendance documents on a regular basis. Contact for student database including tutoring software and Clockify time log software. Create and maintain file organization in One Drive or tutor software to keep tutor files, logs, student records and payroll documents up to date. Assist with processing tutor requests for personalized one-on-one tutors by matching students to tutors in the database. Manage social media accounts. Set up quarterly planning meetings for colleagues in the Office of Academic Support Maintain website updates for the Office of Academic Support Assist with mid-semester and end of semester and academic year data collection and reports. Schedule and organize student advisory board meetings for the Learning Den. Assist with request for students to join academic support programs via tutor requests, PILOT registration and assistance with student triage process. Other duties as assigned.

Minimum Qualifications (Mandatory):

    High School diploma or GED required. Two years related experience required. Additional education may substitutefor required experience, to the extent permitted by the JHU equivalency formula. Some college work preferred to assure work competence and familiarity with an academic environment; or an equivalent combination of education, training and experience which provides the requisite knowledge, skills and abilities for this job. Ability to remain calm and respond quickly to changing needs and to balance competing responsibilities. Strong attention to detail and accuracy. Ability to work independently.

Special Knowledge, Skills & Abilities:

    Exceptional oral, written and interpersonal communication skills. Demonstrated organizational skills with proven ability or prioritize workload. Ability to work collaboratively as part of a team. Ability to work effectively with faculty, staff and students from a variety of diverse backgrounds. Excellent computer literacy, word processing and spreadsheet skills. Experience in administrative support in an office setting, including maintaining multiple calendars, maintaining a filing system, and working with confidential materials. Strong customer service experience. Must be reliable and demonstrate a high level of professionalism. Prior experience using Microsoft Office, including Access, Excel, Word, and Outlook. Database skills, including experience with FileMaker and/or Access is desired. Excellent time management skills. Knowledge of SAP preferred. Knowledge of JHU administrative policies and procedures.

Preferred Qualifications:

    Some post-secondary education, Associate’s Degree, or Bachelor’s Degree desired. Experience working in a university setting. Highly organized and the ability to work under pressure

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
