(Job #523607) Administrative Analyst/Specialist 1E, Advancement Building and Program Coordinator, Salary Range: $4,170 - $7,545 monthly. Appointments are typically made at the beginning of the salary range. Salary is commensurate with qualifications and experience. This is a full-time, benefited, exempt, 12-month pay plan, permanent position with a one-year probationary period in Alumni Relations. Position Summary: Under the supervision of the Director of Alumni Relations, the Advancement Building and Program Coordinator will collaborate with the stakeholders using the Humboldt Bay Aquatics Center. This includes internal campus coordination with the departments that use the building as well as the community members using the events space. This would include event set-up, liaison to campus departments that maintain the facility, communication of pertinent information to all occupants of the building and regular reporting of facility use. Additionally, this position will assist with the coordination of the Forever Humboldt Families programming which would include, but not limited to, connecting families with campus resources, coordinating family stewardship programs and family ambassador events.

Key Responsibilities:

25% Humboldt Bay Aquatics Center Events Room Coordination
  • Be the main point of contact for all event reservations (internal and external) in the events room (HBAC 203).
  • Assure proper event paperwork (insurance, alcohol license, etc.) is on file for all users.
  • Coordinate room set-up and tear-down as needed for event room users.
  • Hire, train and maintain a pool of student event staff.
  • Maintain a high level of communication and coordination with all event inquiries in the reservation system (25Live) for the facility.
  • Regularly submit usage reports regarding the events room and its equipment status/needs.

25% Facility Maintenance Coordination
  • Create a schedule of annual work orders to keep the facility operating smoothly and safely.
  • Regularly assess and communicate the status of the facility to the Facilities -Maintenance department.
  • Coordinate the internal use of all space within the building and its regular users.
  • Coordinate with facilities to maintain the integrity of the building - exterior and interior.
  • Be the main point of contact for university services/utilities regarding the building (Facilities, IT, TNS, etc.).
  • Ensure the proper work orders are submitted as maintenance needs arise for all users.

15% Planning and Collaboration
  • Act as liaison between Athletics, Recreational Sports, Center Activities and Advancement regarding the building.
  • Coordinate the internal use of all space within the building and its regular users.
  • Relay pertinent building information to all stakeholders as necessary.
  • Contribute to problem solving and solutions for the needs of all stakeholders in the building.

30% Advancement Program Assistance
  • Assist with the coordination of the Forever Humboldt Families programming.
  • Monitor email and phone communications with families and connect them to campus resources as needed.
  • Provide support for family ambassador event.
  • Help create a family stewardship program to keep families engaged annually until commencement.

5% Other Duties as Assigned

Minimum Qualifications:
  • Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Preferred Qualifications:
  • Demonstrated knowledge and skills associated with facility coordination and a foundational knowledge of event and constituent programming. This foundation would normally be obtained through a bachelor's degree or equivalent training.
  • Demonstrated success working with teams, working with individuals from diverse backgrounds, and in representing an organization in interactions with individuals and groups.
  • An undergraduate degree in business administration, communication, or related field.
  • Experience working with relational databases.
  • Experience working in nonprofits or in higher education.
  • Knowledge of reporting.
  • Leadership experience.
