Position Title
Senior Office Assistant, Corporate and Foundation Relations & Planned and Estate Giving

Overview

Provide administrative office support for the Office of Corporate and Foundation Relations and Planned and Estate Giving.

Essential Duties:

1. Prepare and maintain records, files and databases some of which may be confidential. Monitor budgets and other financial activities that may require proficiency with math and bookkeeping through trial balance. May serve as internal resource on departmental administrative questions. May be responsible for the accuracy, maintenance and reconciliation of financial accounts, processing payments, transmittal reports, billing, and data entry to accounts payable system.
2. Compose and produce correspondence and reports. Perform intermediate and advanced computer functions include managing databases, create, analyze, integrate and import linked spreadsheets, create mail, envelope, and table merges, create and edit captions, adding graphics, editing images, footnotes, endnotes, indices, tables of content, create master documents and reports using information from several sources. Design and produce reports, and research data and information on the internet.
3. Organize and coordinate office operations and procedures to ensure organization effectiveness and efficiency. Execute acknowledgement process for planned & estate giving as well as corporate and foundation gifts and grants. Assist in stewardship of Harkins Society membership and Corporate Partners program, including birthdays and holiday cards and event planning for annual group events. Interact with constituents, prospects, volunteers, and campus partners via phone, email, mail, and in person; field questions; book gifts; track internal grant approvals and distribute mail appropriately. Oversee student workers when appropriate.
4. May, with supervision, organize and coordinate special projects including presentations, foundation site visits, grant stewardship and impact reports, newsletters, education programs and special events. Assist with corporate, foundation and planned giving prospect research using databases and the Internet.
5. Coordinate internal and external attendees’ calendars; reserve/schedule meeting rooms and make arrangements for equipment, seating, and refreshments, when necessary.

Marginal Duties:

1. Answer phones, greet, and direct visitors to appropriate areas or persons.
2. Sort, open distribute and route individual or departmental incoming mail, and prepare outgoing mail.
3. Perform all other duties as may be required.

Education and Experience Required
  • High School education or equivalent.
  • Two to three years of related experience or an equivalent combination of education and experience.
  • Working knowledge of Microsoft Office applications and database systems.
  • Effective organizational, decision making, and communication skills also required.
  • Ability to work under deadline pressure; organize, set, and implement priorities; and manage multiple tasks.
  • Attention to detail and high level of accuracy.
  • Strong writing skills.
