Helena College is seeking qualified applicants who wish to become part of a dynamic and creative team for a full-time position as a Financial Aid Specialist II – Scholarship & Work-Study Officer.

Duties and Responsibilities

This position is responsible to administer and disburse all forms of financial aid, including institutional, state, and federal, to students in accordance with rules. Advises and counsels students and parents about policies and procedures involving financial aid.
The Financial Aid Specialist II – Scholarship & Work-Study Officer reports to the Executive Director of Compliance and Financial Aid.

Customer Service
  • Informs individuals about financial aid policies and procedures for all financial aid programs.
  • Presentations of financial aid programs and procedures in workshops and public orientation presentations.
  • Responds to individual questions concerning eligibility and general information both in written and oral forms.
  • Coordinates with community business members to provide resources to educate the campus community.
  • Assists with set-up and advertising for upcoming events and activities.
  • Provides assistance to students with inquiries.
  • Updates and maintains financial aid pages on the institution’s website.
Manages Federal and State Work Study Programs
  • Develops and oversees all policies and procedures for the work-study program.
  • Facilitate and market work-study program/jobs.
  • Coordinates with work-study allocations committee to set allotments for upcoming academic year.
  • Primary contact for supervisors and work-study employees.
  • Provides eligibility information and coordinates recruitment and payroll of work-study students with the Human Resources Generalist.
  • Responsible for reporting work-study funds to both federal and state programs.
  • Responsible for implementation, original setup and continual maintenance of Handshake software as the main marketing tool to connect students with events and fairs, job postings, and appointments.
  • Provide outcome tracking and analytics for Handshake.
Manages the disbursement of all scholarship funds.
  • Develops and oversees all policies and procedures for all scholarships.
  • Makes final determinations for the application of all scholarship funds.
  • Primary contact for donors and recipients.
  • Coordinates all in-house scholarships in conjunction with Scholarship committee at Helena College.
o Includes advertising scholarships, collecting applications and ensuring funds are received by eligible students according to award amounts determined by the scholarship committee.
  • Responsible for meeting BIA – Native American Higher Education scholarship program deadlines in the completion of all applications and needs analysis documentation.
  • Coordinates with Business Office for receiving and managing internal and incoming scholarship funding.
Coordinates Financial Literacy and Financial Aid Webpage Activity
  • Develop and implement financial literacy activities for the institution. In particular, work closely with the TRIO SSS program to provide financial aid and financial literacy information to low income students.
  • Design a case management approach for students with high financial need providing actionable, relevant and timely information. Monitor high debt and notify students at predetermined benchmarks. Provide debt counseling for students with high loan amounts.
  • Work with advising and career services to communicate the importance of graduation and major on repayment of student loans.
  • Update Financial Aid webpages as necessary including but not limited to, update forms, general financial aid and financial literacy information, scholarship and work study opportunities, and ensures all links are working accurately.
Manages Employment System Platform
  • Responsible for project management of all aspects of Handshake – an online career management system.
  • Act as main liaison with Handshake and coordinates with the Career Connections Coordinator.
  • Ensures employer, student, job, and apprenticeship information is up-to-date.
  • Responsible for ongoing maintenance and updates of system.
  • Responsible for continual outreach and maintaining relationships with employers.
  • Responsible for the coordination of training and advertisement of platform.
  • Create metrics to report to upper management in order to ensure objectives within the strategic plan are met.
Manages all data entry and file maintenance
  • Responsible for all aspects of ensuring all data is documented correctly as well as processed in a timely manner.
o Includes, but not limited to document input, tracking, file maintenance, and incoming mail.

Minimum Qualifications
  • Associate’s Degree, or a high school diploma and at least two (2) years' experience or an equivalent combination of education and experience.
  • Excellent customer service skills
  • Attention to detail
  • Excellent communication skills, both written and oral forms
Preferred Experience:
  • One year experience with higher education financial aid process to include familiarity with Title IV financial aid programs and business office and/or scholarship and work-study administration experience.
Benefit and Salary Information

$19.04 per hour.
