Job Description

Under the direction of the Director of Financial Aid, within a centralized
financial services environment, performs complex technical support duties pertaining to the use
of ERP modules such as those serving financial aid; serves as an advanced module user and the
primary liaison with Information Technology regarding the resolution of financial aid module
problems; and performs related work as assigned.

Duties & Responsibilities

● Responsible for the creation, setup, testing and modification of the financial aid module,
updating FA rules in Colleague and preparing for the financial aid processing year.
● Liaison with Information Technology on all technical aspects of creating, testing,
upgrading and modifying the FA module in Colleague.
● Tests and prepares financial aid files for packaging. Runs simulations, batch posts
scholarships, calculates NJ Tuition Assistance Grant ( TAG ) awards, creates estimated aid
letters for new incoming students, and revises package letter when aid is adjusted due to
changes in enrollment, housing status, and ISIR transaction updates.
● Responsible for Common Originations and Disbursement ( COD ) processing and
reconciliation of federal grants, transaction processing and the import/export of
Institutional Student Information Report ( ISIR ) data.
● Processes Title IV recalculations for students who withdraw and maintains compliance in
the setup and return of funds to the Department of Education via COD .
● Creates and runs system reports for operational needs of FA; performs database queries;
reviews error lists; makes data corrections.
● Runs batch processes for financial aid for PELL corrections, latest ISIR transactions, and
unlinked ISIR records.
● Manages the Communications Management module for financial aid. Creates, reviews,
and revises rules associated with missing information requests to students and links SAR
comments codes as determined by the Department of Education.
● Activation each semester of federal, state and institutional aid to student accounts in
accordance with institutional disbursement policies.
● Works with the Business Office to reconcile NJ TAG and federal aid between Student
Accounts, Registrar and Financial Aid.

● Security Administrator or Destination Point Administrator for all SAIG, FAA, COD users
in the SFS and the Business Office. Also, maintains and secures user access and tokens
for all these users.
● Reports transfer students on NSLDS for transfer monitoring. Retrieves files through
Edconnect for review by Financial Aid.
● Runs reports required to compile data for FISAP (Fiscal Operation Report and
Application to Participate) for submission. Reconciles data and submits it to Director and
AVP for review.
● Pull FA data for the annual single audit.
● All other duties as assigned.

Qualification Standards

● Bachelor’s degree and 5 or more years of financial aid experience at least 2 years in
Ellucian Colleague systems.
● Extensive knowledge of ERP system (Colleague preferred), COD, Edconnect, Common
line, NSLDS and FISAP processes.
● Excellent organizational, communications and interpersonal skills.
● Commitment to quality student service.
● Ability to work independently as well as part of the diverse, dynamic team of
professionals.
● Ability to maintain confidentiality of records and information.

Education

Bachelor’s degree and 5 or more years of financial aid experience at least 2 years in
Ellucian Colleague systems.

Working Conditions

*Full-time; 52 weeks per year. In addition to regular business hours, the person in this position
must be able to be flexible around the needs of the University, which includes occasional
evening and/or weekend hours.

Physical requirements

1. *Must be able to remain in a stationary position for extended periods of time.
2. *The person in this position needs to move about both inside the office and at other
locations where interviews and meetings are conducted.
3. *Frequently operates a computer for extended periods of time.
4. *Frequently communicates with others over the phone and in person; must be able to
exchange accurate information in these situations.
5. *Ability to speak clearly and communicate proficiently in English.
