Operations Coordinator

General Summary: Provides overall office management for the Athletic, Physical Education, and Recreation. Creates and maintains vendor and partnership contracts, hiring and onboarding of student employees; supports arrangements for events and team travel; supervises reception staffing, and department budget oversight including invoicing, transfers, expenses, and reconciliation. Reports to the Director of APER and works with a variety of individuals on a daily basis to include students, faculty, staff, athletic department staff, student organizations and others to ensure the effective and efficient support of Athletics, Physical Education, and Recreation.

Essential Job Functions:
  • Manages the reception area of the woodruff Athletic Complex and supervise student reception staff
  • Supervise the hiring, onboarding, and training of all student employees within APER to ensure compliance with all college policies, state and federal laws as well as student development practices.
  • Collaborates with the Assistant Director- Facilities and Operations, support all contractual and business components of rentals including camps and all other partnership programs.
  • Collaborates with relevant college partnership to ensure compliance with college polices regarding contract review, insurance requirements, and follow up with potential partners.
  • Collaborates with the Director, manage the department budget including invoicing, transfers, expenses, and reconciliation. Provides forecasting and budgeting information to all APER staff and ensure the compliance with all finance policies.
  • Serves as the point person for all business functions for partnerships with APER
  • Ensures the adherence to all risk management practices, municipal, state, federal and campus laws and policies for this department.
  • Supports coaches and trainers with traveling planning, cash advances, and reconciliation of team expenses.
  • Supports the collaboration with other partners including the City of Decatur, DeKalb County, and other colleges and organizations in the metro Atlanta area to provide more vibrant recreation and intramural activities both on and off campus
  • Collaborates with appropriate staff, support marketing for programs and coordinate communication to participants programming and schedule. Provide timely updates to APER website and social media.
REQUIREMENTS

Education : High School Diploma Required; Associates Degree preferred in related field of study.

Experience : Minimum of 3 years administrative experience including budgeting

Knowledge/Skills/Abilities:
  • Proficiency in budgeting, fundraising, facilities planning, and scheduling.
  • Demonstrated experience with handling multiple tasks in a fast-paced work environment
  • Ability to set and meet internal and external deadlines
  • Demonstrated ability to work independently and to maintain confidentiality
  • in support of the department's goals
  • Exceptional communication skills, both verbal and written.
  • Ability to challenge, support, mentor, interact with and relate to college students.
  • Demonstrated knowledge of and experience in program management including budget and facilities oversight, scheduling, marketing and social media.
  • Currently hold, or be willing to obtain, American Red Cross AED, CPR, First Aid certification.
  • Excellent computer skills: Word, PowerPoint and Excel; and electronic mail and database management.
Other:
  • Irregular hours, outside work, and travel from office to other locations may be required on an occasional basis.
PHYSICAL DEMANDS

Intermittent sitting, standing, stooping, crouching, walking, and occasional moving of objects. Work is performed both in an office and outdoors. Ability to lift and move weight up to 50 lbs.
