Job Description Summary
This position is located in Philadelphia.

The Program Coordinator for Venture Lab is responsible for the logistical arrangement, management and execution of strategically important Venture Lab programs and projects. Based in Philadelphia, this position reports directly to the Director, Venture Initiation Program. This position intersects with multiple other constituent departments that partner with Venture Lab, the Venture Lab Philadelphia team, as well as with teams on the SF campus. The Program Coordinator is part of the core team that makes Venture Lab programming possible on the Philadelphia and SF campuses and has a direct role in executing strategically important programs and events, including, but not limited to: Venture Initiation Program, VIP-X, VIP Practicum, mentoring, Retail Lab, and other programs as needed. This person will need to have or be able to quickly build knowledge and skills related to the entrepreneurial ecosystem and to manage incubator, accelerator, and educational programming. This position also will serve as liaison between Venture Lab and guest advisors, speakers, faculty, students and alumni, and is responsible for data collection and tracking, creation of program KPIs and preparation of related reports, CRM data integrity and management, program and event marketing and registration, maintenance of website content for Venture Lab programs, e-mailbox communication.

While schedule is generally business hours, ability to work early mornings, evenings, and weekend hours and to occasionally travel is needed. This position is located in Philadelphia on Penn's campus. After successful completion of the introductory period, this position is hybrid eligible with some weeks requiring more in-person work as needed.

Position is contingent on funding.

Job Description

Job Responsibilities
  • Manage programs including but not limited to VIP, VIP-X, VIP Practicum, Retail Lab, mentoring, including program and event logistics (prepare materials, event set up, execution, coordination with internal and external stakeholders), coordination of scheduling & management of program calendar, cohort management and communications, documentation and reporting, award disbursement, communications with all program stakeholders and Venture Lab staff in Philadelphia and San Francisco.
  • Manage all required program details, including serving as liaison to all Penn/Wharton departments, faculty and guests, alumni & external expert speakers; coordination of all program materials (on-site and shipments), communication w/program participants, communication w/faculty and external expert speakers. Manage VLAB email correspondence related to managed programs. Work w/highest level of professionalism in an independent, self-directed manner; ensure seamless, high quality program delivery.
  • Manage application processes and tasks as needed for programs including, but not limited to: VIP, VIP-X, VIP Practicum, Retail Lab, mentorship; manage selection committee processes and communications; manage all related technologies (e.g. Survey Monkey Apply, Qualtrics, CRM, monday.com). Manage communications with students.
  • Responsible for data collection, tracking, analysis; reporting of program KPIs and preparation of related reports and presentations; CRM data integrity and management; speaker request process; program/event marketing & registration; program budget summary; website content for VLAB programs; post-program/event evaluation.
  • Other duties and responsibilities as assigned.


Qualifications

  • A Bachelor's Degree and minimum of 3-5 years of experience are required, preferably in a university setting, or equivalent combination of education and experience. Master's Degree a plus. Must be organized and detail oriented with strong writing and communication skills and a high degree of professionalism. Demonstrated ability to function both independently and as part of a team. Ability to interact effectively and comfortably with diverse group of students, senior executives/professionals, and staff with demonstrated ability to cultivate and manage relationships professionally and with good judgment with a variety of stakeholders. Must possess skill in Google software applications (Docs, Sheets, Slides, as well as the Microsoft Office suite (Word, PowerPoint, Excel, and Outlook). Familiarity with Adobe InDesign, Photoshop, Acrobat; cloud-based tools like Beautiful.ai, Monday.com, and Typeform; email marketing tools like ActiveCampaign; additional tools such as Qualtrics, SurveyMonkeyApply; and headless web platforms such as Brightspot are preferred. Excellent judgment and ability to respond positively to mentoring and direction. Knowledge of entrepreneurship, innovation, and venture capital a plus. Proven ability to interact professionally with a range of constituents from student entrepreneurs to the most accomplished of alumni and executives. The successful candidate will be adept with technology and have the ability to multi-task in a time sensitive, high pressure environment, meet deadlines, prioritize workload and execute on critical programs and events, and will possess strong organizational, presentation, attention to detail, communication, and time management skills. Ability to work early mornings, evenings, and weekend hours and to occasionally travel is needed.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
