Williams College is pleased to announce the opening of a Software Trainer position for Advancement Operations. The Software Trainer is responsible for training end users on software used by the Office of College Relations. This role is eligible for up to 2 days a week remote work, subject to policy. This is currently planned to be a full-time position for a two-year term, but we are open to part-time arrangements for the right candidate.

The department uses a variety of software tools in daily operations and the incumbent in this position will help to centralize that knowledge and assist users in the ‘best practices’ use of the various tools. The Software Trainer will be responsible for ensuring an excellent end user experience for staff in the Office of College Relations, offices across the college, and volunteer/alumni end users, by assisting in providing training and customer support on a variety of tools that provide services such as email marketing, event management, data entry, reporting, and more.

Responsibilities

The Software Trainer will play a key role in the replacement of the OCR CRM (customer relationship management tool). This multi-year implementation project is key to the future success of the Office of College Relations, providing much-needed improvement in tools and technology. The Software Trainer will be key in making the most out of the new tools. The Trainer will assist with creating business process and software documentation, creating video tutorials, and training end users at various times throughout the implementation period and beyond. The Software Trainer will be responsible for creating a training rollout plan for the system go-live date and will also assist with periodic communications with end users throughout the implementation process.

This position will also play a key role as a liaison between end users and the Advancement Operations implementation team and technical team by communicating about enhancements, questions, and concerns to help to translate those concerns to the technical team for resolution. The Software Trainer will create and maintain excellent relationships with end users, vendors, consultants, and peer institutions in order to create a network of knowledgeable people to help Williams College pursue the best solutions to typical problems.

The Software Trainer ensures that end users receive excellent customer service and training in addition to ensuring there is clear, quality documentation to explain the provided technical solutions. The Software Trainer should be regarded as a team player and leader by colleagues and model Williams’ values and culture, provide team leadership, and demonstrate system knowledge to support the team by researching and answering questions, troubleshooting problems, and working closely with end users to provide solutions.

Qualifications

Bachelor’s degree or at least 2 years of experience, with progressively increasing responsibility and experience in training on software systems, preferably in an academic setting.

Skills:
  • Demonstrated experience training end users on how to use various software tools including classroom training and virtual training.
  • Experience with managing classrooms and sustaining end user focus is key. The ability to motivate end users to pay attention during essential training will be important.
  • Experience creating short training videos is a plus.
  • Excellent oral and interpersonal skills, including diplomacy required to work effectively with colleagues across the institution.
  • Experience in a non-profit or fundraising environment and experience with fundraising databases such as Slate for Advancement (or an equivalent) which capture biographic, prospect, and donation data for non-profits is preferred.
  • Demonstrated ability to prioritize work, and manage multiple, diverse and competing priorities while meeting deadlines.
  • Flexibility when faced with changing priorities will be key.
  • Ability to deal with highly sensitive information, as well as a high degree of judgment and discretion dealing with such confidential information.
  • Independent judgment, ability to initiate and complete tasks, and motivate staff toward task completion.
  • Ability to manage as well as work in a fast-paced, diverse team environment.
