Job Summary

Under the direction of the Senior Associate Dean for Research, the Director of Research Administration is responsible for ensuring research administration processes in the College of Nursing and Health Professions run smoothly and that all staff involved with research administration processes have the training and resources they need. The Director oversees the day-to-day pre-award and post-award management of research grant and contracts and provides direction and leadership for ensuring timely submission of all grants and contracts and efficient post-award management. This person develops systems to manage budgets, personnel procedures, and performance metrics associated with sponsored projects and works with College faculty on all sponsored project needs. The Director of Research Administration serves as the senior staff liaison to the Drexel University Office of Research and Office of Research Accounting Services to address sponsored project business and systems related issues and represents the College at research staff-related University committee meetings.

Essential Functions
  • Independently manage pre-award, post-award, and all other administrative aspects of the College’s research program. Supervise staff who support a majority of these functions.
  • Provide advanced or high-level pre-award and post-award grant support/management to individual faculty members with large research portfolios.
  • Monitor university centrally based regulatory and compliance related research support functions (effort reporting, etc.).
  • Coordinate internal research grant proposal process and tracking, including a monthly report.
  • Coordinate completion of data requests from the Senior Associate Dean for Research and college leadership.
  • Effectively communicate with Drexel and sponsor contacts throughout the award/closeout to ensure all administrative tasks are completed and issues addressed as needed. Work to rectify deficits on sponsored funds and address invoicing issues.
  • Represent CNHP on university-wide, research-related committees.
  • Coordinate with CNHP Finance and Administration regarding issues and procedures that intersect both research and finance, such as projections and expenditure reporting, purchasing, hiring of personnel, consulting agreements, and other financial administration items.
  • Report grant expenditures on a monthly basis to the Executive Director of Finance and Administration.
  • Manage curation and updating of relevant documents on research policy and resources for grant submission.
  • Investigate and gather information on available research grants and opportunities for faculty.
  • Serve as liaison between faculty and Office of Research as needed.
  • Coordinate internal research grant proposal process and tracking.
  • Maintain all grant files, submissions, and proposal/award tracking.
  • Pre-Award related activities included but not limited to:
    • Disseminate opportunities matched to college faculty research interests.
    • Identify topics related to sponsor and CNHP-based cost principles, draft budgets, obtain associated documentation in advance of the proposal deadline, create and upload grant application packages to submission platforms.
    • Proofread and edit grant proposals and provide technical writing expertise as needed.
    • Assist faculty and staff with Drexel University’s electronic proposal submission systems.
  • Post-Award related activities included but not limited to:
    • Monitor all phases of award and closing (review invoices and receipts for deficiencies and deficits) to detect and address issues as they arise.
    • Monitor funds to ensure all transactions are accurate and deficits avoided.
    • Effectively communicate with Drexel and sponsor contacts throughout the award/closeout to ensure all administrative tasks are completed and issues addressed as needed. Work to rectify deficits on sponsored funds and address invoicing issues.
    • Prepare, submit, and follow-up on all paperwork relative to budgetary procedures for extramural grants and some intramural funds (PAFs, transaction corrections, etc.).
    • Coordinate with the Director of Finance on issues and procedures that intersect both Research and Finance, such as projections and expenditure reporting, purchasing, hiring of personnel, consulting agreements, and other financial administration items.
    • Review of new contracts, non-disclosure agreements, ongoing negotiations
  • Support the Senior Associate Dean of Research in coordinating research efforts within the College, including duties that pertain to Centers/Institutes, cross college efforts, and other special projects.
  • Research Operations-related:
    • Manage the calendar of opportunities for extramural funding for the faculty and plan for cyclical projects and deadlines
    • Prepare research financial reports. Work in conjunction with the Director of Finance, as needed
    • Manage curation and updating of relevant documentation on the server and SharePoint site. This includes but is not limited to research policy authored by Research Operations, documents relevant to Research Operations authored by other groups within CNHP, University policy documents (that are not available on Drexel’s website).
  • Serve as the liaison to RAS and the CNHP finance team.
    • Coordinate special projects or data audits for the Research Operations team.
    • Supporting Senior Associate Dean for Research:
      • Assist with ongoing system and process improvements for research operations.
      • Provide detailed project briefings and status reports to the Senior Associate Dean for Research monthly.
      • Provide administrative and program support to the Senior Associate Dean for Research, as needed.
      • Serve as a representative, as requested, for University-wide committees related to research administration topics.
  • Research Management duties:
    • Oversee CNHP’s internal research grant proposal process and tracking, including budget preparation and routing of proposals and related information for approval for submission.
    • Oversee the coordination of the research calendar with faculty so all internal deadlines are met.
    • Serve as the primary liaison to the Office of Research
    • Serve as the College representative for research related process and information technology enhancements.
    • Develop and support organizational process change and improvement, including training materials.
    • Oversee pre- and post-award compliance, contractual reporting, non-disclosure agreements, obligatory effort reporting and export controls.
    • Oversee the operation of CNHP’s research tracking system, report generation and research projections for the Dean’s office, department heads, and finance team
    • Creation, oversight, and enforcement of CNHP research policies, processes and procedures as requested by Senior Associate Dean of Research.
    • Liaison to Drexel’s research-related operation committees.
    • Other special projects as assigned
Required Qualifications
  • Master’s Degree or Equivalent in Business, Administration, or related field
  • 5+ of experience in sponsored research, academic environment, or equivalent setting.
  • Expertise in both pre-award and post-award aspects of sponsored research in the health sciences, including NIH, NSF and other major funders.
  • Experience in contracts and grants management, regulation and compliance, and sponsored funding tracking and forecasting.
  • Excellent skills in a range of software and office-based technologies related to proposal submission and grants management, including COEUS.
  • Supervisory experience and experience with Hyperion or another enterprise data reporting tool is desirable.
Preferred Qualifications
  • Evidence of strong project management skills.
  • Ability to handle confidential materials.
  • Ability to handle multiple projects simultaneously, including prioritization and planning to meet deadlines.
  • Demonstrated ability to work independently as well as cooperatively with faculty, administrators and staff to achieve desired results. Excellent communication (oral and written), interpersonal, organizational, and analytic skills required.
  • Leadership skills and the ability to work in a senior role within a team.
