POSITION SUMMARY:

The Department of Music Administrator will perform complex and technical coordination, administration, and administrative support to the chair, faculty, students and staff. Limited supervision will be given by the Music Department Chair in coordinating, communicating, and organizing details for and within the department. This position reports directly to the Music Department Chair.
ESSENTIAL FUNCTIONS:
  • Assist in the scheduling of classes for all department faculty members—full-time, adjunct, private music instructors, and the accompanist staff members.
  • Compose letters and memos independently.
  • Serve as the direct telephone and office contact between the university and the music department's public—including administration, students, and public relations.
  • Assist faculty, adjuncts, and private music instructors in securing classroom equipment and obtaining instruments.
  • Schedule Junior/Senior Recitals, Music Chapels/General Recitals, Performance Classes, Studio Classes and Master Classes
  • Schedule academic advising and coordinate the semester meeting for all majors and minors with music faculty.
  • Coordinate Commencement Activities related to academic and graduate activities.
  • Provide necessary reports and information as needed by the Department of Music, including student recruitment retention data, and ensemble placement.
  • Conduct exit interviews for all graduates as assigned.
  • Collaborate with Coordinator of Music Operations in marketing efforts:
  • Generate content, manage, and maintain department website, social media accounts, and newsletters
  • Assist in the design, production, and dissemination of concert and promotional materials.
  • Schedule studio instruction times and locations for all part-time private music instructors.
  • Coordinate program activities for major events such as: assigned festivals, community events, Christmas concerts, Convocation, Baccalaureate, Commencement, etc.
  • Prepare payroll information for adjunct instructors, private music instructors, and staff accompanists.
  • Maintain confidential student files along with filing archives for the department.
  • Assist the Music Department Chair in monitoring budgets and expenditures.
  • Supervise assigned student workers.
  • Process music activity scholarships and records of distribution.
  • Perform related duties or projects as assigned.
MINIMUM QUALIFICATIONS:
  • Baccalaureate degree required. (preferably in: music, music business, music administration, or related field.)
  • Three to five years administrative experience in a position of comparable responsibility.
  • Excellent writing and organizational skills with the capacity to manage multiple tasks simultaneously.
  • Leadership in events management.
  • Occasional evening and weekend work required.
  • Musical experience and knowledge desirable.
  • Computer skills consistent with responsibilities are required; knowledge of MS Word, Excel and Power Point essential, knowledge of Photoshop, Illustrator, Adobe Suite, Mail Chimp, and Mac computer experience desired.
  • Ability to work independently.
  • Ability to lift 20 pounds.
  • Excellent interpersonal skills to communicate with students, faculty, staff and general public.
  • Knowledge and acceptance of principles and philosophies of Vanguard University.
SALARY:

Full-time position.

$55,100 to $67,350 (Annual) / $26.49 to $32.38 (Hourly)

Placement within the salary range is commensurate upon education and experience. Posted salary range reflects anticipated hiring scale for the position. Vanguard University also offers a very competitive and generous benefits package.
