Job Description

The Assistant Director of Budget & Finance, reporting to the Executive Director of Administration and Strategic Initiatives at the Whitman School of Management, is a vital member of the Whitman team. They are responsible for overseeing all financial operations and providing financial guidance to ensure the smooth functioning of the school. With expertise in financial analysis, budget analysis, and financial reporting, the Assistant Director manages accounting operations, financial controls, and audit requirements with a team of six staff members.

Working closely with faculty and staff, the Assistant Director ensures that payroll processes are efficient and effective, and that budget allocations and expenditures are monitored and administered effectively. They assume overall responsibility for the administrative and programmatic budgets and finances and are dedicated to ensuring the financial stability of the school through regular reconciliation, financial reporting, preventing overdrafts, managing variances, and resolving financial issues with appropriate University and Whitman Offices.

Qualifications

Bachelor’s degree and have a minimum of 5 years of experience in accounting and administration. Experience in grant administration is highly desirable.

Job Specific Qualifications
  • A service-oriented and collaborative approach, strong attention to detail, and exceptional organizational, time-management, and analytical skills are essential.
  • They must have the ability to work independently and within a team as required, with a thorough understanding of University financial processes and procedures.
  • Proficiency in PeopleSoft and Hyperion, as well as Microsoft Office and Excel, is highly desirable. The successful candidate must be able to handle sensitive, confidential information with good judgment and make decisions as needed.
  • Strong written, verbal, and interpersonal communication skills, and the ability to prioritize tasks in a fast-paced environment, are also required.
Responsibilities
  • Responsible for providing leadership and supervision to a team of six staff members. This includes setting expectations and goals, providing guidance and support, conducting performance evaluations, and ensuring the team’s overall productivity and effectiveness in carrying out their responsibilities related to financial operations and budget management.
  • Responsible for effectively monitoring the budget and financial operations of the school. This includes monitoring budget allocations, expenditures, fund balances, and transfers. Provides compliance with fiscal practices and policies and tracks the accuracy of chartstring usage. They provide support to program areas through the preparation of monthly financial analysis details and summaries and maintain ongoing communication regarding respective financial and budgetary operations. Committed the accuracy and transparency of the school financial management processes.
  • Drive budget project success by overseeing and participating in projects, analyzing financial data, making recommendations, and preparing budgetary reports. Interact with department staff to resolve issues and ensure operations are within budget.
  • Work with the Executive Director to create monthly financial projections that align with school’s priorities and meet deadlines. Plays a crucial role in the annual budget process and long-range planning by preparing annual increment files for academic departments and programs.
  • Train and support College staff in financial, payroll, and disbursement processes, ensuring compliance with University policies. Provide backup support to academic departments and serve as the College’s FAST coordinator for financial and payroll systems access
