Job Summary

The Campus & Comm Events Coordinator position will ensure that every event held in Brown-Kopel meets the expectations and needs of our clients. This position will serve the faculty, staff and students of the Samuel Ginn College of Engineering, deal with other areas of the University as well as outside entities. From the reservation of the event space (conference room, study room, classroom, or ballroom) to dealing with vendors or the seamless execution of the event, this person serves as the primary contact for our clients. This position will require non-standard work hours and weekends.

Essential Functions
  • Manages all reservations for spaces for the Brown-Kopel Engineering Student Achievement Center and provides quality customer service to all visitors and callers.
  • Evaluates rental space for special events and provides proposals for the best use of the space including but not limited to pricing, set up capabilities, and amenities.
  • Serves as a point of contact for internal and external constituents including caterers, equipment rental companies, and other suppliers.
  • Coordinates the logistics necessary to plan and execute conferences, meetings and various types of special events held in the Brown-Kopel Engineering Student Achievement Center.
  • Oversees event set up and breakdown, logistics for all events both outside and in-house groups, including set up of chairs, tables and other required equipment.
  • Interfaces with clients to plan events and oversees their implementation. May conduct pre-event venue tours with potential clients.
  • Acts as the primary day of event representative to the client before, during and after the event.
  • Compiles data through surveys, focus groups, word of mouth, and other forms of research to provide detailed input on facility needs and customer service satisfaction.
  • May oversee event billing and payment processes.
Minimum Qualifications

Minimum Qualifications

Required education and experience:

Level I: Bachelor’s degree in Business, Marketing, Communications, Public Relations, or relevant field with no experience.

Level II: Bachelor’s degree in Business, Marketing, Communications, Public Relations, or relevant field plus 2 years experience in event planning, public relations, hospitality, and general office operations. Experience must include at least 2 years at the preceding level or equivalent.

Level III : Bachelor’s degree in Business, Marketing, Communications, Public Relations, or relevant field plus 4 years experience in event planning, public relations, hospitality, and general office operations. Experience must include at least 2 years at the preceding level or equivalent.

Minimum Skills, License, and Certifications
