Position Details
Wesleyan Universities’ Department of Molecular Biology and Biochemistry focuses on the molecular basis of life — on mechanisms by which cells process, integrate and act on information to create and propagate living organisms.

This position reports to the Chair of the Molecular Biology and Biochemistry Department. The administrative assistant is responsible for providing administrative support to the department and its faculty.

Responsibilities include:

For the Biochemistry Program:
  • Assist with the preparation of reports and proposals; write correspondence and memorandums; create flyers, brochures, newsletters, etc.
  • Maintain databases, generate reports and mailing lists, maintain calendars and organize meetings, manage office correspondence and procedures, and greet and work with students, faculty, visitors, and other constituencies.
  • Manage/reconcile departmental pcard; occasional processing of payroll, A/P vouchers, travel reimbursements, and other financial transactions as needed.
  • Maintain confidential files for faculty, departments, and programs.
  • Assist in compiling course offerings using the Curriculum Development System; liaison with departmental staff to manage cross-listings, and edit material for course catalog and university publications.
  • Assign advisors to student majors, and update and maintain confidential student records.
  • Support Graduate Committee; process graduate student applications, paperwork, and correspondence; compile graduate student records and maintain departmental student records database.
  • Coordinate the logistics for all program events (e.g., speakers and lecture series) including scheduling, publicity, room reservations, travel, and catering arrangements.
  • Provide support for faculty searches, tenure and promotion cases, colloquia, and special projects as needed.
  • Update and maintain website and assist with faculty blogs.
  • May oversee student workers.
  • Perform other duties as assigned.

For the Molecular Biophysics Program:
  • Maintain databases, generate reports and mailing lists, maintain calendars, and organize meetings for program faculty.
  • Coordinate course cluster for Minor, edit material for course catalog and university publications.
  • Coordinate the logistics for Annual Retreat to include scheduling, publicity, room reservations, travel and catering arrangements.
  • Manage program funds; process A/P vouchers, travel reimbursements and other financial transactions.
  • Update and maintain website.
  • Other duties as assigned.

This position is in the secretarial/clerical bargaining unit. This position works 35 hours per week for 52 weeks for a total of 1820 hours.
Minimum Qualifications
Associates Degree and four years related experience or an equivalent combination of education, training and experience.

Demonstrated attention to detail.

Strong organizational and communication skills.

Demonstrated expertise in Word, Excel and Email.

Previous experience using webpage management applications.

Proven ability to manage multiple tasks.

Demonstrated commitment to work within a diverse environment and interact collegially with individuals of different backgrounds.
Preferred Qualifications
Previous budget management experience.
