Job Summary/Basic Function
JOB SUMMARY :
The Administrative Coordinator- ARDP will be responsible for providing administrative support to the, Associate Director of Research, Agricultural Research Development Program ( ARDP ) in the College of Engineering, Science, Technology, and Agriculture in the management of research and other programs under the purview of Associate Director of Research of ARDP . The incumbent will coordinate all necessary support functions related to travel, acquiring supplies and equipment, space, human resource/financial functions such as leave, time and effort reporting, monitoring of budgets, departmental meetings, seminars and other related duties.
Essential Duties and Responsibilities
The successful candidate will be responsible for assisting the ARDP unit in carrying out the objectives of research programs and related functions.
General Administrative Responsibilities
•Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text data and graphics.
•Assists by researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
•Assists with event and program preparation, planning and execution.
•Coordinate all necessary support functions related to travel by the Associate Director, Acquiring services, supplies and equipment for the research program, space in the
Research buildings, human resource/financial functions such as leave, time and effort
Reporting, monitoring of budgets, departmental meetings, seminars and other related Duties.
• Coordination with fund managers/ Project Directors for acquiring services, supplies and equipment for research program.
•Receiving and coordinating invoice payment processes for projects in ARDP .
•Assist with maintaining the Associate Director’s appointment schedule and with planning and scheduling meetings, conferences, teleconferences, and travel.
•Assist to coordinates, arranges and prepares official travel as directed.
•Welcomes guests and customers by greeting them in person or on the telephone or through the web; answering or directing inquiries.
•Manages critical/time-sensitive projects as needed for the unit.
•Establishes and maintains files and ensures completeness and accuracy.
Minimum Qualifications
Experience and Qualifications
• A Bachelor’s Degree is required, a minimum combined five years of professional experience in business, education, administration or related activity is desired.
• A successful candidate should be able to assist the Associate Director in managing programs, operations and activities of ARDP .
• The ability and willingness to work collaboratively, a desire to build administrative and interdisciplinary relationships, and experience in team building and facilitation.
• The ability to learn new software programs as needed.
• Knowledgeable of current computer/tablet smart systems-based technologies used in office work, and in institutional functions software such as BANNER .
• Ability to lift and carry supplies/materials (up to 35lbs).
• Ability to work independently of direct supervision.
• Ability to operate office equipment such as fax machine, copiers, and multiline phone systems.
•Must be able to travel to research locations in Ohio and neighboring states as directed.
•Ability to maintain confidentiality.
