Position Summary:
The Event AV Coordinator, a member of the User Services team in Integrated Technology Services (WITS), collaborates with faculty, staff, students, Event Services, outside groups and third-party entities to ensure audio, visual, and technical aspects of live events are properly planned, set up, and supported in various locations around the Salem campus ranging from small classroom venues to large auditorium productions. The Events AV Coordinator assumes responsibility for leading and training student technicians in providing audio and lighting support for events. The candidate also maintains, repairs, and suggests a replacement life cycle for installed and portable AV event equipment used across campus. The candidate selected for this position is responsible for proper installation, maintenance, inventory, and safe operation of portable and permanent audio, lighting, related control boards, and projection equipment. The Event AV Coordinator requires a combination of technical, organizational, interpersonal, and managerial skills. The selected candidate will be a detail-oriented, experienced professional with AV technical expertise and the ability to work both independently and as part of a team. Weekend and after-hours event support tasks are to be expected from this full-time, on-site position.

JOB DUTIES
  • Planning and Overseeing Design, Setup and Support of AV Services for Live Events
    • Coordinate with and act as the primary contact point for university event schedulers, faculty, staff, students, and external clients to ensure the timely and successful implementation of audio, visual, lighting, and technological aspects of events held at the Salem campus venues.
    • Work directly and effectively with teams from across campus and outside vendors in support of a wide variety of events.
    • Determine when event support can be done in-house or when outside contractors are better suited to specific events and assist and supervise load-in, set-up and load-out of touring companies and third parties when applicable.
    • Assist with Summer Conferences and other visiting clients through audio visual equipment planning, reservation and deployment.
    • Read and execute technical riders and contracts in support of the Scheduling Manager's contracting and scheduling.

  • Supervision of Student Employees
    • Coordinate with WITS Help Desk students to ensure equipment reservations are placed, prepped, delivered, and tested prior to events.
    • Supervise and train students of ASWU Sound, a student organization primarily focused on supporting student events. This includes oversight and management of the ASWU equipment inventory.
    • Develop and conduct student employee training. This includes general customer service, operation of installed and portable AV equipment, inventory management, maintenance, repair, communication with various teams using Slack and Jira Service Desk, and the use of WITS reservation and Service Request systems.
    • Work with student employees and their schedules to provide event coverage, especially for after-hours events.

  • AV Fieldwork Management and Direct Event Support
    • Coordinate setup and tear-down work schedule with the Scheduling Events Manager and the Events Production Team to ensure work flow is timed with other event production schedules (catering, seating arrangements, etc.)
    • Ensure timely and accurate set-up and strike of equipment.
    • Troubleshoot and resolve event AV issues on-site and under pressure.
    • Work with the WITS Help Desk / Equipment Desk to reserve computers, conferencing hardware, projectors, and additional hardware as required for event support.
    • Assist with and provide oversight for outside AV contractors and/or production technicians hired for concerts or special events.
    • Support A/V equipment in Smith Auditorium and Hudson Concert Hall for events not sponsored by the Music Department. This will entail operating light and sound consoles and training student employees in their use.

  • Maintenance and Inventory Upkeep
    • Performs routine and continuous inspection of event-space equipment and reports to the Director of User Services any needed upgrades, maintenance, or remedies.
    • Works collaboratively with individuals from other departments including the Music Department's AV Support Technician for events occurring in Rogers or Smith; shares and maintains equipment in these spaces as needed
    • Maintains standard and minimally customized lighting plots for Hudson Hall and Smith Auditorium, and performs regular cleaning, repair, and safety inspections
    • Maintains the campus-wide inventory of available AV circulation and reservable hardware.
    • Ensures regular maintenance schedules and safety protocols are in place for all rigging in Hudson Hall and Smith Auditorium.
    • Creates documentation for AV equipment setup and usage.


MINIMUM QUALIFICATIONS
  • Any combination of education and experience that provides the required knowledge, skills and abilities to perform the essential functions of the position
  • Three to seven years of related experience
  • Quality customer service and public relations skills, with the ability to work under pressure and with a wide variety of personalities
  • Ability to work alternative shifts and flexible hours as needed to support events
  • Ability to work without direct supervision and establish and maintain harmonious relations with staff, faculty and students
  • Ability to work for extended periods of time while walking, standing, bending, stooping, climbing, lifting objects, and pushing/pulling heavy carts of equipment while often exposed to dirt, dust, odors and inclement weather in areas sometimes dimly-lit
  • Ability to frequently and safely lift objects weighing up to 50 pounds
  • Ability to work from ladders and catwalks up to 50 feet in height
  • Ability to reside in Oregon by the first day of employment


Preferred Qualifications
  • Experience with sound consoles and lighting systems
  • Knowledge of professional standards in theatrical rigging and safety practices
  • Experience mixing/recording live audio on digital and analogue sound consoles

Flexible work schedule, including evenings & weekends.

Physical Demands and Working Conditions

Working conditions can include extended periods of walking, standing, bending, stooping, climbing, lifting objects, and pushing/pulling heavy carts of equipment while often exposed to dirt, dust, odors and inclement weather in areas sometimes dimly-lit, noisy, and confined to small spaces.

Salary: $27 per hour
