Overview

Princeton Plasma Physics Laboratory (PPPL) is looking to hire an Administrative Assistant to focus on providing additional department administrative assistance to the Executive Assistant, Discovery Plasma Science (DPS) and Applied Materials & Sustainability Sciences (AMSS) as well as to also provide larger administrative support the operations of the DPS and AMSS teams.

Responsibilities

Provide a broad range administrative support members of the department, visitors, and members of the Laboratory/University community. Responsibility for handling confidential and time sensitive material. Will provide additional support to the Executive Assistant for the department.

This position uses complex decision-making skills and discretion to prioritize and execute all administrative work in a manner that results in a highly efficient and productive office environment using technology and processes that support PPPL’s mission and goals.

Core Duties:

  • Purchasing Card (P-Card) holder; purchase items for the department as needed.
  • Prepare requisitions in the procurement system; coordinate processing to closure.
  • Material handling such as mail, shipping, and receiving of packages.
  • Office supply inventory to ensure that adequate supplies are on hand and accessible to department staff.
  • Assist with and organize meetings, conferences, seminars, and department interviews.
  • Assist with on-boarding process, site access, organizing and establishing seating arrangements/workstations.
  • Assist with travel requests, expense reports in Concur.
  • Update and maintain department intranet website as needed.
  • Assist with additional responsibilities as needed.
  • Other related job duties as assigned.


Qualifications

Education and Experience:

  • High school diploma or GED equivalent.
  • Some college preferred.
  • Must have at least 2-5 years of related administrative support experience.
Knowledge, Skills and Abilities:

  • Strong computer skills and ability to pick up new software tools.
  • Must be able to demonstrate strong organizational and time-management skills.
  • Must show proficiency and comfort in using Google Suite products and/or Microsoft Office tools.
  • Excellent verbal and written communication skills.
  • Must be resourceful and can analyze problems to provide solutions to those problems.
  • Must be detail-oriented and have with exceptional follow-through.
  • Strong ability to multi-task.
  • Must be able to deliver results accurately, efficiently, and in a timely manner.
Physical Requirements:

  • This position will be hybrid. In office, with some hybrid work optional days once incumbent becomes proficient and has built up trust around position responsibilities.
Working Conditions:

  • When on-site, this will be an Office/Lab setting; When working remotely will be working from designated home office setting.
