Coordinates the administrative operations of a department, including, but not limited to, human resources, payroll, telecommunications, building maintenance, and property inventory.

  1. Coordinates personnel administration including employee sign-up, faculty folders, payroll and implementation of related policies and procedures.
  2. Coordinates department administrative operations, including telecommunications, physical plant work orders, long distance codes, parking permits and ID card requests.
  3. Maintains personnel records such as employee information, timesheets and lost time reports; tracks status of submitted personnel and administrative forms.
  4. May coordinate and compile information for various programs and activities for faculty and graduate students.
  5. Oversees the work assignments of clerical staff and coordinates daily office operations.
  6. Coordinates all aspects of space management and conducts property inventory for the department.
  7. Reviews personnel and administrative documents for adherence to university regulations prior to obtaining certifying signature.
  8. Assists faculty, staff and students with personnel and administrative issues; serves as departmental liaison to administrative departments on campus.
  9. Performs other job-related duties as required.

The University of Houston Law Center is seeking an outstanding candidate for an Administrative Coordinator position within the Facilities Department.

The specific responsibilities for this position include but are not limited to:
  • Processes ePOIs for faculty and staff, cougar card access, as well as troubleshooting card access issues.
  • Assists with auxiliary services functions including water dispensers, coffee services, and plant services.
  • Assists in checking building for cleanliness, organization, and maintenance issues.
  • Maintains classroom functionality, ensures boards are cleaned, takes inventory and purchases supplies as needed.
  • Performs customer service to address concerns with parking permits, key request, phone services, and nameplates.
  • Assists with facility maintenance, grounds keeping, and set up/tear down of Law Center events.
  • Assists supervisor in tracking of facility projects and spending.
  • Supports front desk operations by greeting, welcoming, and directing visitors as appropriate.
  • Assists in a variety of mail related activities, including collecting, delivering, sorting, logging insured mail, FedEx, and USPS Certified Mail. Updates mail slots and keeps the mailroom clean and organized.
  • Coordinates parking reservations for faculty, student organizations, and departments.
  • Prepares FIXIT work requests, purchase vouchers, requisitions, and contracts.
  • Assists with special projects such as compiling furnishings inventory, key audit, space inventory, emergency preparedness, and other Facilities related projects.
  • Utilizes Law Center vehicle to run errands and/or conduct Law Facilities business.
  • Must be willing to work weekend events that might occur at least four times a year.

Qualifications :

High school and 5 years experience

Requires a basic knowledge of grammar, spelling, punctuation and simple mathematical functions like percentages, ratios, etc. as might normally be acquired through attainment of a high school diploma or GED. Requires a minimum of five (5) years of directly job-related experience.

Education in lieu of experience will be considered.
