The School of Interdisciplinary Arts & Sciences (IAS) has an outstanding opportunity for a Graduate Programs Manager/Adviser (Counseling Services Coordinator, Grade 7).

The Graduate Programs Manager/Advisor manages the day-to-day operations and delivery of prospective and current student advising and frontline academic services for three field-distinct graduate programs in the School of Interdisciplinary Arts & Sciences (IAS): the MA in Cultural Studies, MA in Policy Studies, and MFA in Creative Writing & Poetics. The Graduate Programs Manager/Advisor works with the faculty Graduate Program Coordinators (GPC)/Graduate Program Directors and program faculty to plan and manage the annual cycle of recruitment and outreach, admissions and enrollment, and academic advising in support of student retention, program completion, and student academic and professional success, with particular attention to equity.

    OVERVIEW OF RESPONSIBILITIES

    Academic Advising: Current Students

    Advise current IAS graduate students on University and program policies and procedures, degree requirements, petitions, registration, graduation, academic planning, funding, and campus resources.

    Provide guidance in academic planning, goal-setting, evaluating progress, and problem-solving.

    Act as Graduate Program Adviser (GPA), the administrative interface between IAS and the UW Graduate School.

    Track student progress toward degree completion; manage academic progress (including regular degree audits, student tracking, issuing warnings, academic probation, and dismissal processes), and manage degree completion processes.

    Maintain current student records in program and University data systems.

    Prospect Communications, Admissions, & Recruitment

    Manage the recruitment cycle with the goal of meeting enrollment targets for state and fee-based programs. Support strategies for effective recruiting, retention, and diversity efforts in collaboration with the IAS Director of Graduate Programs and others.

    Review, update, and maintain online program profiles and application portals.

    Advise prospective students regarding degree curriculum and application process. Manage and track prospective student inquiries.

    Manage the admissions review, notification, and documentation process. Oversee post-admission recruitment and retention efforts, in coordination with faculty, student, and alumni ambassadors.

    Implement and adapt new technologies to program-specific recruitment and admissions efforts.

    Program, Curriculum, and Operations Management and Support

    Communications: Manage web presence for IAS graduate programs.

    Manage, assess, and improve communication platforms to support student degree planning, notifications and updates, and academic success.

    Fiscal: Manage and track budget and travel requests and awards

    Events: Serve as lead organizer for incoming student orientations, with program directors, faculty, student and alumni ambassadors. Help coordinate and execute Graduate Research Conferences and Spring Festival in collaboration with program directors and other IAS staff.

    Coordination/Collaboration with IAS Staff and Other UW Units

    Coordinate with other functional staff units in IAS (Communications, Events, Alumni Relations; Operations; and Academic Services) to achieve graduate program goals.

    Develop strategic and collaborative relationships at UW Bothell and the University of Washington where they support graduate program goals and advance IAS graduate student experience.

    MINIMUM REQUIREMENTS

  • Bachelor’s Degree in Humanities, Social Sciences, Sciences, Education or a related field.
  • At least three years of advising experience in higher education or closely related student-facing student services experience.

    ADDITIONAL REQUIREMENTS

  • Demonstrated competency in working with and promoting the success of student populations strongly represented in IAS and UWB, especially under-represented minority, first-generation, veteran, immigrant and international students.
  • Demonstrated ability to form productive working relationships with students, faculty and staff from diverse lived and professional backgrounds and a commitment to providing excellent student services in a climate of multicultural understanding and appreciation. Ability to address conflicts positively and proactively and prioritize mutual problem-solving
  • Strong interpersonal skills, including confidence, sensitivity, and discretion to work with students, faculty, staff, and administrators; ability to mediate different viewpoints and interests; and work towards practical understandings and resolutions.
  • Strong communication skills, including demonstrated ability to communicate effectively with diverse constituencies, orally and in writing, proactively and responsively. Demonstrated ability to understand and represent differences between the orientations, approaches, and substance of the graduate programs within the IAS portfolio.
  • Excellent organizational skills. Demonstrated ability to multi-task, manage and prioritize within a heavy workload with frequent interruptions and multiple demands
  • Excellent project management skills. Attentive to detail, able to track and manage multiple tasks/projects to conclusion, and able to relate these to larger program activities and goals
  • Demonstrated judgement in problem-solving, decision-making, consultation and collaboration skills.
  • Demonstrated aptitude to use and learn different technologies, platforms, and online systems for the purposes of student records tracking, communication with current and prospective students, and data gathering, including Content Management Systems (web), Client Relation Management (CRM) systems, and coordinated care database and communications systems.
  • Works effectively as a team member and independently.
  • Proven ability to handle confidential information discreetly
  • Facility in Microsoft Office, Google Drive, and Outlook

    DESIRED EXPERIENCES

  • Master’s degree in education, social services, counselling, communication and/or a liberal arts and sciences field related to the IAS Graduate Programs
  • Demonstrated leadership experience in the area of diversity, equity, and inclusion
  • Advising experience with graduate/professional students, or with adult, non-traditional students
  • Advising experience with interdisciplinary programs or across fields
  • Familiarity with database development and use
  • Familiarity and comfort managing programs in a regulatory environment
